Job Summary


The Assistant Billing Manager oversees the billing operations in their team, focusing on efficiency, accuracy, and compliance with firm policies.

This role plays a crucial part in delivering top-notch service to both internal and external clients, managing daily operations, and ensuring timely completion of tasks.


Responsibilities:

  • Direct daily billing activities, including processing billing edits, issuing invoices, and handling reporting requirements to ensure timeliness and accuracy.
  • Coordinate team resources for optimal service delivery, providing necessary support and coverage even outside regular business hours.
  • Assign workload and supervise major billing projects, offering guidance on complex billing arrangements.
  • Maintain compliance with client rates, ebilling requirements, and outside counsel guidelines, proactively addressing related issues.
  • Collaborate with Collections, Accounts Payable, Conflicts, and E-Billing teams to resolve discrepancies and enhance processes.
  • Communicate with Billing Partners and external clients to address inquiries and resolve issues effectively.
  • Conduct annual performance evaluations, identify training needs, and offer mentoring to boost team capabilities.
  • Monitor billing and ebilling status reports to ensure accurate and timely completion.
  • Work with the Collections team to resolve unallocated cash balances and address billing issues affecting the collection process.
  • Maintain and update client billing instructions and facilitate the seamless introduction of Billing Coordinators to their teams and billing lawyers.
  • Initiate solutions to streamline internal workflows and eliminate process inefficiencies.

Qualifications:

  • Ability to supervise and manage a team of professional billers, coordinate workflow, provide feedback, and conduct annual reviews.
  • Excellent communication skills, both verbal and written, with attorneys, staff, vendors, and clients.
  • Organizational skills to prioritize work effectively in a dynamic environment and meet deadlines.
  • Detail-oriented with a commitment to accuracy and thoroughness.
  • Knowledge of basic accounting concepts and internal controls.
  • Experience with ebilling, including the Ebilling Hub and other vendor platforms.
  • Proficiency in 3E or similar account systems with the ability to train others.

Education:
The role requires a Bachelor's Degree in Accounting or a related field. Equivalent training and experience may be considered in place of formal education.



Experience:
A minimum of five (5) years of billing experience with direct supervision responsibilities is necessary. Experience in a professional services setting is preferred.
