Job Summary:


PIC Group has an exciting opportunity for a Plant Administrative Assistant to support a 590MW simple cycle gas power plant in Central California.

The Plant Administrative Assistant reports directly to the Plant Manager and is responsible for station administrative support.

The Plant Administrative Assist is directly responsible for all accounts payable entry, which includes but is not limited to helping with regulatory compliance and reporting, parts procurement processes, and to contract janitorial services.

The hours for this role are Monday - Friday 7am - 3:30pm


Essential Duties and Responsibilities:


  • Process invoices and assure part receipts match.
  • Coordinate timely payment with Corporate Accounts Payable team.
  • Assist with company credit card account reconciliation.
  • Process employee expense reports.
  • Manage documentation flow for Plant Manager review and approval.
  • Assist Environmental staff with regulatory reporting and record keeping as well as any events.
  • Explain and instruct plant staff with existing policies and procedures.
  • Will provide back up support to the payroll department, addressing questions to help with accurate completion and coding of all time entry, providing a monthly hours worked report to management team.
  • Maintain regulatory bulletin board postings.
  • Act as liaison between the power station and Human Resources, providing clear direction with client's HR policy.
  • Create & maintain complete A/P files that include all project files.
  • Process and reconcile A/P in Main Saver. At times including materials received, quotes and purchase orders.
  • Schedule appointments, meetings and maintain calendars; arrange meeting room facilities as needed.
  • Answer, screen and route phone calls; provide information as requested.
  • Maintain and order general office supplies.
  • Check postal mailboxes; time stamp, prioritize, sort, and distribute mail.
  • Ensure proper handling and routing of all incoming and outgoing postal and air express packages.
  • Schedule appointments, meetings and maintain calendars; arrange meeting room facilities as needed.
  • Complete monthly required training in GPi system and assist with entering completed classroom training in data base.
  • Assist with preparing monthly accruals and tax reconciliations.
  • Occasionally be available for scheduled and unscheduled overtime to meet business needs.
  • Support Safety department, including any written documentation & recordkeeping.
  • Demonstrates professionalism in all activities and encourages personnel within the department to do the same.
  • Support community relations via involvement with area charitable organization(s).
  • Available for occasional travel as needed, less than 5%, for training, seminars, and other project support.

Job Requirements:


  • Proficient with Microsoft Office, with emphasis on Outlook, Word, Excel and PowerPoint.
  • Knowledge of company organization, policies and procedures as well as general Human Resources practices.
  • Proven ability to type at least 35+ WPM.
  • Proficiency with balancing multiple priorities and meeting stringent deadlines.
  • Effectively communicate and support multiple staff members, in writing and in person.
  • Must be able to have regular and ontime work attendance.
  • Demonstrated capability with being selfmotivated and selfdirected.
  • Proficiency in using the English language to include proper grammar in correspondence.
  • Proven organizational skills to support multiple people and the facility overall.
  • Must have a valid driver's license and clean driving record.

Physical Requirements:


  • Capable of extensive walking, sitting and repetitive motion throughout the day.
  • Must be able to manage the sounds typically found in an operating power plant.

Education / Experience:


  • High school diploma required.
  • 5+ years' experience in an administrative role with increasing levels of responsibility.
  • Any specialized training directed toward business writing or secretarial course work preferred, not required.
  • Advance consideration given to applicants competent in CMMS, such as Main Saver or Maximo.
  • Must have a valid driver's license and clean driving record.
