A two-year traineeship (Administrative Assistant Trainee 1 & 2, NS=Grade 8 & 10) leading to Administrative Assistant 1, Grade 11, was approved effective October 31, 2019.

Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in the second year of the traineeship in four competency areas through the CSEA Partnership or equivalent offerings through another entity as determined by the agency.

All trainees are required to successfully complete all courses before advancing to Administrative Assistant 1, G-11.

The New York State Office of Mental Health (OMH) is recruiting to fill an Administrative Assistant 1, Grade 11/Administrative Assistant Trainee, NS, position assigned to the Center for Human Resources Management, Bureau of Facility Personnel Services (FPS).

The incumbent will provide general clerical support in Facility Personnel Services including support in the FPS List and Transaction Units.

The FPS List Unit provides eligible and mandatory list canvassing and interview scheduling services for 26 OMH facilities and its Central Office.

The FPS Transaction Unit reviews and submits payroll transactions for approximately 13,000 employees at 26 OMH facilities on 34 payroll agency codes.

Specific duties to be performed may include, but are not limited to, the following:

Provide administrative support to the FPS List and Transaction Units.

Perform the List Canvassing function for several OMH facilities.

Assist with exam related duties.

Maintain and update files.

Type and proofread correspondence, reports, and forms.

Maintain inventory and order supplies for the FPS List and Transaction Units, as necessary.

Receive and respond to incoming phone calls.

Open and distribute incoming mail.
