- Manages pending approved accounts payable.
- Maintains well organized accounts payable files to support items paid and to aid in the timely retrieval of information when research is requested.
- Manages and reconciliates multiple credit card accounts.
- Receives and distributes incoming accounts payable invoices and related documents for approval.
- Prepares and processes invoices in Foundation, accurately and timely.
- Identifies and resolves any discrepancies between purchase orders and invoices.
- Coordinates the collection and maintenance of the W-9 Tax Form from New Vendors
- Coordinates the annual 1099 tax form preparation, mailings, and corrections.
- Reviews and verifies Vendor Statements as needed.
- Establishes new vendors in accordance with company policies.
- Manages deposits made on required purchase orders.
- Maintains 1099 vendor files for accuracy and up to date W9's for tax reporting.
- Prepares and processes weekly vendor payments.
- Takes vendor and internal customer inquiries, responding in a professional manner.
- Supplies order placement and management.
- Assists with special projects and other tasks assigned by the President as necessary.
- Functions as the primary back-up to Accounts Receivable Specialist during absences {will need training on what the AR specialist does}.
- Other related duties as assigned.
- High school diploma required; Business or Accounting degree preferred.
- 2-3 years of experience in an accounting related field.
- Certified Accounts Payable Professional (CAPP) certification preferred.
- Must be reliable and extremely trustworthy.
- Must be proficient in Microsoft Office Suite or related programs.
- Must be able to learn other accounting software systems.
- Excellent organizational skills and attention to detail.
- Ability to maintain confidential and meticulous records.
