Position Description:
This position reports to the Director of Accreditation and Academic Programs.
This position is integral to the Accreditation and Academic Programs (AAP) team which manages the university's accreditation with the Southern Association of Schools and Colleges Commission on Colleges (SACSCOC), new program approval processes, and academic program review.
This position works collaboratively with other staff members in AAP to support the timely documentation of compliance with the Kentucky Council on Postsecondary Education (CPE) and completion of reports related to maintaining accreditation through SACSCOC and program-level accreditors.
This position will interact frequently with other team members in the Office of Academic Planning and Accountability (OAPA), the SACSCOC Institutional Liaison, academic units, and the Office of the Provost.
The position will serve as the coordinator for the university-wide new academic program approval and academic program review as required by CPE.
This position will provide support to facilitate the review of the EAB Academic Performance Solutions (APS) annual department Health Checks as part of ongoing academic program review.
The position will be the subject matter expert and first point of contact for questions regarding new academic program approval and review to include managing questions around market and employment data (i.e., Lightcast Analyst evaluation system).
This position will work with colleagues to manage projects, organize procedures, compile and archive data, draft/edit various institutional documents and reports using various software, and work with academic units and programs representatives in the development of accountability documents.
This position requires the ability to write, analyze written documents, and provide developmental feedback to colleagues, and manage and revise processes and procedures.
The position will additionally, provide logistical support and collect, analyze, interpret, present, and disseminate data related to new academic program approval, program review, accreditation and other academic compliance efforts.
Under limited supervision, this position will work to prioritize multiple tasks to meet strict deadlines.ESSENTIAL DUTIES AND RESPONSIBILITIES:
Coordinate, new academic program approval and program review processes.
Assist with the revision and management of new academic program approval and program review processes.
Organizes university-wide committee work and meetings around new academic program approval and program review processes.
Manages the preparation, review, and distribution of annual Department Health Checks to university-wide academic departments.
Use project management skills to track various AAP processes to maintain compliance with internal (UofL) processes for new program approvals, program review, SACSCOC standards and policies, and other academic compliance as needed.
Maintain knowledge of state regulations for program approval, and program review as required by the Kentucky Council of Postsecondary Education (CPE).
Assist the Director with the coordination of approvals for new Centers and Institutes and regular review of existing ones.Communicate with and answer questions from academic unit faculty and staff regarding academic approval, academic review, or other external accountability efforts that require documentation or reports to be submitted in a timely manner.
Provide analysis and feedback to academic program representatives on documentation related to the new academic program approval, academic program review, and CPE compliance.
Assists with the preparation of documentation for the Faculty Senate and UofL Board of Trustees for matters relating to new academic program approvals, academic program closures, and approvals of new Centers and InstitutesProvide information to the Faculty Senate Academic Program Committee (APC) and the Budget and Planning Committee (B & PC) throughout the new academic program approval process as needed or requested.
Support AAP efforts by using various tools and resources, such as CIM (Course Inventory Management system), Lightcast, (market research), OnBase (document warehouse), etc., to respond to requests or create documentation for end users.
Archive materials related to new academic program approval, academic program review, SACSCOC substantive change review for new academic programs, changes to academic programs, and program closures.
Work with appropriate units across the University to research educational requirements for state licensure in fields with programs offered or under consideration by the university, and to compile other information necessary to support academic regulatory compliance (Higher Education Act); provide regular updates and reports as directed.
Partner with key stakeholders to shape academic compliance processes related to SACSCOC accreditation.Provide office support through maintenance for the AAP email service accounts, general website updates, meeting and room scheduling, and other supportive tasks as needed.
