    This classification is a safety-sensitive position as defined by the United States Department of Transportation drug and alcohol testing regulations and/or the Oklahoma Standards for Workplace Drug and Alcohol Testing Act.

    As a safety-sensitive classification, you will be subject to drug and alcohol testing, including random testing. Marijuana is one of the substances included in the drug panel screening.

    Possession of a medical marijuana certification will not excuse you from the testing process, or the consequences of testing positive for marijuana.


    JOB SUMMARY:


    Under general supervision, the Special Events and Volunteer Supervisor is responsible for planning, coordinating, and organizing the City of Shawnee's special events and volunteer programs.

    This position performs a variety of manual, clerical, and routine leadership functions pertaining to event implementation, customer service, and management.


    ESSENTIAL DUTIES:

    • Plans, creates, coordinates, and implements events for the City of Shawnee Parks & Recreation Department.
    • Coordinates youth, adult, and senior volunteer program and college internships.
    • Directs, coordinates, schedules, and trains workers, including employees and volunteers.
    • Provides information to the public concerning programs, activities, and special events.
    • Coordinates marketing products and media material in relation to special events.
    • Responsible for overall coordination, administration, design, implementation, and management of events, programs, and activities.
    • Develops, administers, monitors, and coordinates budgets for assigned events/programs, purchases equipment and supplies.
    • Generates contracts, event orders, client proposals and client correspondence for all special events.
    • Generates grant applications, tracks reporting for grants and submits applications.
    • Generates schedules for employees and volunteers for events and activities.
    • Prepares work orders for special maintenance needs and purchase orders for supplies.
    • Follows City of Shawnee and Parks & Recreation policies and procedures, rules, and regulations.
    • Performs duties of subordinates when necessary.
    • Operates office equipment such as fax machines, copiers, and phone systems, uses computers for spreadsheet, word processing, database management, and other applications. Learns to operate new office technologies as they are developed and implemented.
    • Manages department software systems for event management.
    • Must report to work on a regular and timely basis.
    • Performs other duties as necessary and or as assigned.

    OTHER DUTIES:

    • Coordinates and completes city wide event permits.
    • Coordinates and processes city wide park reservations.
    • Participates in Parks & Recreation team meetings and training.

    QUALIFICATIONS:

    Training and Experience:
    Graduation from an accredited college or university with a Bachelor's degree in Recreation or related field. Two years of experience in event management, planning, hospitality, sales management and/or recreation special events management.

    Knowledge, Abilities, and Skills:

    Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, the public and other employees of the organization.

    Ability to organize and secure the effective cooperation of community groups to determine special recreational needs; ability to train and lead subordinates in recreation work; ability to communicate effectively, both verbally and in writing; and the ability to understand and influence the behavior of others within the organization, customers, or the public to achieve job objectives and cause action or understanding.

    While performing the duties of this job, arm and hand steadiness and finger dexterity will be needed enough to use a keyboard and telephone.

    Occasional sitting and standing are required. Occasional lifting and carrying of objects up to fifty (50) pounds. Occasional reaching, balancing, stooping, kneeling, crawling, twisting, handling, and repetitive movements. Vision, speech, and hearing sufficient to perform essential tasks. Must submit to drug screening and physical exam.

    Licenses and Certificates:
    Must have an Oklahoma driver's license and maintain a driving record acceptable to the City's insurance carrier.


    WORKING ENVIRONMENT:
    Work in this classification is both indoors and outdoors. The employee is exposed to hot, wet and humid conditions.

    Requires ability to work nights, weekends, holidays, irregular hours, and willing to periodically perform stand-by and call-back work during off duty hours.
