Responsibilities:


  • Scheduling appointments and heavy calendar management. Manage a busy and everchanging calendar, and prioritize appointments with the EVP's prior clearance. Review daily.
  • Prepare daily call sheets to be provided at the beginning of each day.
  • Arrange international and domestic travel, including airline, hotel, and car service reservations.
  • Act as gatekeeper and primary point of contact between internal staff and visitors, as required.
  • Screen telephone calls and announce each caller.
  • Greet and properly direct all clients and guests. Be responsive to client's needs upon arrival.
  • Coordinate conference rooms and meal arrangements for internal and external meetings.
  • Ensure the EVP is prepared for all meetings by keeping her on schedule and providing necessary materials.
  • Prepare expense reports and track reimbursements, as necessary.
  • Maintain and revise office filing, electronic record keeping and outlook contacts.
  • Plan and oversee events on behalf of the EVP (catering, hotel rooms, mailing lists, gifts, etc.).
  • Assistance with ad hoc projects using Word, Excel, and PowerPoint.
  • Assist with personal duties, as needed.
  • Arrange meals daily.
  • Draft and review correspondence.
  • Develop relationship with executive contacts, and gain recognition as a team resource.

Qualifications:

  • A minimum of 5 years of relevant executive assistant experience.
  • Strong communication skills, both written and verbal.
  • Excellent professional demeanor with the ability to work with a wide range of levels and management.
  • Keen attention to detail.
  • Must possess strong organizational skills.
  • Comfortable working in a fast paced environment, ability to multitask, shift direction easily and prioritize.
  • Good judgment, discretion and strong discipline.
  • Experience in a role that requires a high level of discretion with confidential information.
  • Team player, selfstarter.
  • Experience working in a corporate environment is highly preferred.
  • Undergraduate degree preferred.
