    What you will do at Harris County Precinct 4:

    The Scheduling Specialist is the public point of contact for precinct-wide registrations, reservations, and permits.

    This position provides excellent customer service to members of the public wishing to:


    • Register for events, classes, programs, and other opportunities with the precinct.
    • Reserve and/or make payment on community buildings and park facilities such as pavilions, meeting rooms, and ballfields.
    • Obtain permits for the temporary use of county facilities.


    To provide excellent service, the Scheduling Specialist maintains knowledge of all precinct community programs and opportunities, reservable spaces, permitting, and all the related policies and procedures.

    The Scheduling Specialist will interact with the public via telephone, email, and other customer relationship management software.

    The Scheduling Specialist maintains accurate records in the customer relationship management software. To accomplish this, the position works closely with the departments of Community Programs, Recreation, Parks, and Community Assistance.

    The Scheduling Specialist will ensure that every detail of a customer's reservation has been accurately recorded following established procedures.

    While having an upbeat and positive attitude throughout the day, the reservations coordinator will consistently interact with customers, team members, and park personnel.

    The Scheduling Specialist maintains a thorough knowledge of Precinct 4 and reservations rules and procedures.


    Job Duties and Responsibilities:

    • Customer interaction: field phone calls, email inquiries, and other digital inquiries in a timely, professional, and helpful manner.
    • Customer interaction: acquire information in an expeditated manner from the customer relationship management software and relay to constituent in a clear, concise, and actionable manner.
    • Managing registrations: Precinct 4 provides a variety of opportunities for constituents to become involved. The Scheduling Specialist assists this by being knowledgeable about these opportunities, guiding constituents through how to use the customer relationship management software and assisting them in this process when requested.
    • Managing reservations: Precinct 4 provides groups, organizations, and the public the opportunity to reserve certain facilities at designated times and for designated purposes. The Scheduling Specialist coordinates the creation of reservations using the customer relationship management software, ensuring seamless arrangements for Precinct 4 and the booking party, including the handling of payments and logistics in accordance with all applicable fee schedules, rules, and regulations.
    • Managing permits: Precinct 4 may offer permits for the restricted and monitored use of facilities across the precinct. The Scheduling Specialist coordinates requests and assignment of these permits, in accordance with Precinct 4 rules and regulations, in addition to obtaining approval from Departmental leadership. This includes the handling of payments and logistics in accordance with all applicable fee schedules, rules, and regulations. This includes the prompt retrieval and processing of payments using established protocol and guidelines.
    • Monitor: Using the customer relationship management software, monitor availability and usage of resources to determine immediate and long-term trends, ensuring maximum efficiency and utilization within the Precinct 4 mission and vision.
    • Data entry: In coordination with other departments, uploading all events, classes, programs, and other engagement opportunities into the customer relationship management software on a regular and timely basis.
    • Troubleshooting: When the need arises, communicate with community center, park, and other operations staff to clarify discrepancies, and communicate the outcomes to the public or interested parties.
    • Obtain approval: When necessary, work with departmental leads to obtain necessary approval on specific questions/requests from the public or interested parties.
    • Reporting: As necessary and assigned, run reports on a timely and consistent basis to share with department leads and other operations staff.
    • Remain up to date on assigned duties, including but not limited to reservation cancellations, customer resolutions, and facility and security dispatch.
    • Communicate and follow-up with staff and customers on special events, internal requests and other requests or concerns.

    Requirements


    Education:

    • High school diploma or general education degree (GED)

    Experience:

    • One (1) year of customer service, administrative, and computer experience

    Licensure:

    • Valid Texas driver's license with a good driving record.

    Language:

    • Bilingual fluency, Spanish

    Knowledge, Skills and Abilities:

    • Knowledge of use and maintenance of industrial cleaning equipment.
    • Familiarity with basic landscaping and handyman practices.
    • Person must possess physical ability to carry out job responsibilities, willing to work flexible hours, ability to work well with public; possess good judgement skills and exhibit willingness to accept direction; must have the ability to work with minimal supervision.
    • Ability to work independently and without direct supervision at times.
    • Ability to work some evenings and weekends.
    • Be honest, trustworthy, respectful, flexible, and demonstrate sound work ethics.
