The creation of the HHC System Support Office recognizes the work of a large and growing group of employees whose responsibilities are continually evolving so that we and our departments now work on behalf of the system as a whole, rather than a single member organization.

Position Summary:


This position will coordinate and support the New Colleague Orientation for the Hartford HealthCare and supports the compliance and onboarding for multiple business groups within Hartford HealthCare.

The role will coordinate the orientation and on-boarding processes in partnership with Talent Acquisition and the businesses bi-weekly.

The Coordinator will also be responsible for the creation and compliance of the new hire employee file on behalf of the local human resource teams.

This position reports to the Vice President of Human Resources, Community Network on behalf of the HHC Business Lines and Institutes.

Exceptional communication, computer skills, and organizational abilities are required in order to perform this job successfully.


Position Responsibilities:


Key Areas of Responsibility

  • Prepare employee files (paper and electronic) for multiple businesses and ensure regulatory and business specific compliance
  • Coordinate, participate, and support the Hartford HealthCare New Colleague Orientation. Help with event preparation (swag set-up, tech set-up, Equifax, Veoci and iPad set-up, Peoplesoft). Help with Live Event (new colleague registration/check-ins, I-9 support, support late arrivals, registration and Q&A, event oversight, reach out to no shows, and support local daily onboarding work and follow up). Assist with event closing (afternoon swag, water bottles, information booth, and event breakdown).
  • Create Veoci back-up list and place in Sharepoint. Prints hardcopy for Day 1 of NCO.
  • Serve as back-up for analyzing new hire panel and Veoci name duplication. Manages new hire list through Veoci tool for accuracy. Review Veoci to ensure all new hires for business are registered. Create preliminary and final list for all new colleagues and send to NCO distribution list.
  • Create and update standard work for orientation and onboarding processes, as needed.
  • Main point of contact for routine and triage questions related to orientation, onboarding, employee files and compliance.
  • Coordinate and verify with talent acquisition all employees are cleared to start (pre-employment paperwork is complete, medically cleared, fingerprinted). Confirm Orientation participants by compiling and verifying with talent acquisition and local HR
  • Follow up on outstanding onboarding requirement working with talent acquisition, field HR and external partners as necessary. Report out file compliance weekly (as needed)
  • Other duties as assigned

Qualifications

Education

  • Bachelor's Degree

Experience

  • Minimum: Three to five years' experience as an administrative assistant
  • Preferred:
  • Human Resources experience preferred
  • Familiarity with an Applicant Tracking System, Kronos and/or PeopleSoft is a plus

Licensure, Certification, Registration

  • Valid Drivers' License

Knowledge, Skills and Ability Requirements:


  • Solid general computer skills, including ability to work in a Windows environment
  • Flexibility with schedule to accommodate orientation day hours is required as needed.
  • Some driving may be required
  • Strong verbal, written and interpersonal communication skills
  • Strong communication skills and comfort/willingness to present in front of others
  • Excellent time management and problem solving skills
  • Detail oriented, highly organized with the ability to multitask and prioritize work
  • Comfort and ability to handle confidential information
  • Comfortable working in a fast paced, evolving customer service environment with patience, flexibility and attention to detail
  • Flexibility, agility and willingness to make changes
