SUMMARY


The Document Specialist is a temporary assignment to assist the Records Management Lead in supporting the Department of Energy, Office of Nuclear Energy, in Germantown, MD and Washington, DC.

The document specialist position encompasses inventory and data collection efforts to include maintaining a document database archived and indexed for quick document retrieval.


Note:
This is a full time, hybrid, one (1) year assignment with possible renewal.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential Duties and responsibilities include the following. Other duties may be assigned.

Assist the Records Management Lead in advancing the records management program.

Maintain a document database to ensure documents are appropriately archived and indexed for quick retrieval.


Interface with internal functional teams and external customers for planning, prioritization, and issue resolution of overall activities in the support and achievement of customer records management goals.


Interface with other professionals to generate program documentation such as plans, schedules, briefings, reports, correspondence, contracts/contract modifications, technical instructions/procedures and/or related material.

Create and maintain master files/schedules related to program history, execution, and status for the life of the program (inception to disposal)


Review, analyze, provide comments, and provide assessments of technical and nontechnical program reports; research specific areas of interest and prepare findings.

Physically pack and move boxes and files, as needed.


Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize personal output.

Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

EDUCATION AND EXPERIENCE
Associate's degree and a minimum of three (3) years of relevant experience, or equivalent combination of education/experience.


JOB SPECIFIC KNOWLEDGE/SKILLS/ABILITIES
Excellent written and verbal communication skills with strong command of the English language.

Excellent organization and document creation skills with attention to detail.

Knowledge of records management procedures and standards (NARA, GRS).

Maintain knowledge of relevant technology and training.

Ability to analyze and interpret GRS & NARA regulations.

Ability to work independently based on general guidance and verbal & written trainings.

Ability to work well with others in a team environment and to assist team members when needed.

Ability to interact effectively with internal / external stakeholders in a professional manner.


LANGUAGE SKILLS
Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.


MATHEMATICAL SKILLS

REASONING ABILITY
Ability to define problems, collect data, establish facts and draw valid conclusions.

Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
