ABOUT US
ESSENTIAL DUTIES
Under the general supervision of the center director, responsible for maintaining a complete set of records of all financial transactions, balancing books, preparing statistics, tax records, and submitting reports to funders.
RESPONSIBILITIES
- Balance books and compile reports to show statistics, such as accounts payable and other financial data.
- Collaborate with director to divide city grants into working budgets.
- Perform budget modifications in the city database as needed.
- Review and advise on spending decisions by Program Director.
- Communicate with director, vendors and other parties to address financial discrepancies.
- Collaborate with director in monitoring spending trends and projecting future expenses.
- Present budget reports to board of directors.
- Prepare monthly bank reconciliation and trial balances.
- Provide data to external auditor.
- Maintain documentation of employee & subcontractor attendance.
- Calculate payroll and payroll taxes.
- Prepare quarterly payroll report.
- Process new hires and report staffing to the city.
- Process invoices & payments to suppliers and subcontractors.
- Prepare and submit monthly invoices and quarterly reports. Assist in analysis of actual service costs compared to budgeted service costs.
- Monthly vouchering of expense reports to funding sources.
- Prepare monthly disposable supply and food inventory & food cost report.
- Maintain petty cash and contribution records and funds.
- Digitize financial records for submission to city database.
- Light typing, occasional answering of phones.
- Substitute for the director when necessary.
EDUCATION AND/OR WORK EXPERIENCE REQUIREMENTS
- Knowledge of bookkeeping principles and practices.
- Graduate of a business school; OR
- High school graduate with coursework in business math, bookkeeping and accounting; OR
- High school graduate with 1 year experience as full charge bookkeeper.
- Competency in the use of computers. Ability to maintain a logical structure of files & folders.
- Competency in standard office software. Familiarity with Quickbooks or Excel/LibreOfficeCalc, Outlook/Thunderbird, Word/LibreOfficeWriter.
- Ability to learn and use online city databases.
- Willingness to learn NYC standard practices for senior centers.
- Excellent verbal and written communication skills, including ability to effectively communicate with staff and members.
- Russian/Ukrainian speaking is a plus.
Pay:
$58, $62,000.00 per year
