Summary


The Grants & Contracts Analyst collaborates with pre-award and departmental staff in the financial management of the MDACC's grants and contracts to ensure excellent customer service to researchers, administrators and sponsors and effective stewardship of sponsor funds.

This position supports the success of their assigned workstream (Post-Award Administration / Invoicing and Cash Management / Award Set-Up and Data Management processes) through independent execution of basic tasks related to sponsor projects and serves as a resource to departmental constituencies, as well as Grants & Contracts Analyst within their assigned workstream.


Key Functions

  • Perform a variety of complex analytical activities to ensure compliance with various accounting principles, sponsor requirements, federal and state guidelines, and institutional policies
  • Perform complex ongoing operational tasks within assigned workstream, which may include:
  • Award Management: Monitoring of sponsored award spending for allowability and compliance with federal and sponsor regulations, managing payroll and sponsored project effort, preparation of required financial and accounting reports to sponsors, sponsored project financial and non-financial closeout according to Institutional policy and good accounting practices and institutional audit engagement and response
  • Financial Management: Generating monthly standard invoices, monitoring and researching cash payments, processing monthly Letter Of Credit Draws and related reporting, managing cash balances, managing sponsored projects lockboxes and clearing accounts, and other collection and cash management duties

Agreement Management:
Performing the account set-up process, ensuring that all relevant data is captured in post-award systems and files, reviewing subrecipient entities to assess risk and executing sub-award agreements and preparing and distributing operational reports and metrics for internal and external audiences

  • Work with Principal Investigators, Division and Department Administration and Sponsors to provide excellent customer service and resolve complex issues related to sponsored programs management
  • Ensure provision of customer service assistance to outside agencies in the ongoing administration of grants and contracts
  • Keep uptodate on sponsor requirements, institutional policies, and state and federal regulations, and proactively update team members on applicable changes

Education

Required:
Bachelor's degree.


Experience

Required:
Two years business experience to include administration, data analysis or accounting. May substitute required experience with additional years of education on a one to one year basis.


Preferred:

Administrative/business experience in an academic medical center research setting

Familiar with NIH and CPRIT guidelines

Experience with contract analysis - terms and conditions, budgets

Strong organizational skills, attention to detail, and ability to manage deadlines

Effective written and oral communication skills (e.g. ability to communicate with others in a clear and professional manner)

Excellent customer service and interpersonal communication skills (e.g. ability to work with personnel at all levels to gather information and communicate compliance requirements)

Ability to read and accurately interpret sponsored programs policies, procedures, federal regulations and guidelines (such as contract and notice of award documents)

Experience using financial accounting systems or fund accounting systems
