POSITION
DESCRIPTION:


Under the general supervision of the Director of Business Operations (DBO), provides independent, responsible technical and clerical support in a variety of areas.

These areas include but are not limited to maintaining records, the preparation of various correspondence, agendas, and attending to a variety of tasks for the DBO.

The Contracts and Facilities Coordinator also performs additional tasks as assigned.


DUTIES AND RESPONSIBILITIES:


_ Contracts and Compliance Support:
_


  • As directed, periodically prepares and files reports with federal, state and local funding and regulatory agencies.
  • Gathers, compiles and organizes data, statistics and other information for reports, proposals and agendas.
  • In close cooperation with DBO, Program Directors and fiscal staff, assists in the preparation and processing of contract and subcontract documents and execution of renewal documents.
  • Ensures contractual obligations and procedures are followed according to Community Bridges policies, rental agreements and leases, including review of legal obligations as it relates to repair and responsibility under the supervision of the DBO.
  • Performs additional duties related to liability, property, vehicle and other insurance policies, specifically adding, renewing, changing coverage and maintaining accurate insurance information files.

_Facilities Management:
_


  • Is a point of contact for facilities issues, concerns and requests when the Facilities Technician is unavailable and when necessary, contacts and coordinates with outside contractors for facilities maintenance and repairs.
  • Maintains a list of preferred vendors and contractors who are available to perform repairs as needed for all facilities.
  • As directed, researches and processes requests for quotations and recommends vendors as appropriate.

  • Arranges and schedules meetings as directed.
  • Develops procedures, methods and systems as directed.
  • Develops and maintains organized filing systems.
  • Uses a computer to prepare and/or independently develop a variety of documents, including correspondence, reports, memos, and agendas; copies and distributes as necessary.
  • Edits their own and others' materials for clarity, grammar, and conciseness.
  • Performs and/or oversees a variety of administrative duties as required.

  • Uses proper judgment and discretion when dealing with information gained during the course of work; maintains confidentiality when required.
  • Develops and maintains effective working relationships with other agency staff members, members of the Board of Directors, and with representatives of funding sources, governmental and community organizations, and others in regular contact with the agency.
  • Communicates effectively and respectfully with people from different racial, ethnic and cultural groups and from different backgrounds and lifestyles; demonstrates a knowledge of and sensitivity to their needs.
  • Drives a motor vehicle incidental to the performance of the work.

Works with Administrative Team, Program Directors, Senior Analysts, and Grants Managers and support staff to:

  • Gather, compile and organize data, statistics and other information for reports, proposals, and licensing requirements.
  • Respond to inquiries from local, state, and federal officials for information and clarification.
  • Compose and prepare a variety of written and statistical reports, agendas and correspondence; type, duplicate and distribute such materials.

OTHER JOB DETAILS:


  • This is a FLSA nonexempt position.
  • This position is eligible for a $.40/$.10 per hour bilingual/biliterate differential after passing a test administered by the Human Resources Department.
  • Hours of work are typically 9AM5PM, Monday-Friday, however, evening and weekend work is required. Regular onsite attendance is required.

MINIMUM QUALIFICATIONS:


_ Required:
_


  • Experience coordinating or providing substantive assistance in the management of an organization's contracts or facilities, or other comparable experience;
  • Knowledge of standard administrative practices and procedures
  • Experience using standard computer programs such as Microsoft Word and Excel, Google suite, etc.
  • Cultural competency and ability to communicate clearly and succinctly in English, orally and in writing
