Office Assistant, Middle School (Part-Time)

Operations
GUGCS is seeking a school Office Assistant to join the main office operations team.

The Office Assistant is an integral part in the daily functioning of our school, providing administrative support to our staff, students, and families.

The Office Assistant will be responsible for maintaining accurate attendance records, ensuring that students' attendance and tardiness is properly documented and followed up on.

In addition, this individual will manage incoming phone calls, acting as the first point of contact for families, staff, and visitors, and providing essential information and assistance.

The role also includes supporting student enrollment, supply management, and supporting various school and office tasks and projects.

  • Welcome parents & visitors maintains accurate visitor logs, respond to visitors & parent requests as appropriate
  • Organize and update student records
  • Send out weekly enrollment updates and filling open student seats
  • Draft enrollment flyers, mailers, and recruitment materials with support of Director of Operations
  • Support in ordering during summer months and other high ordering times
  • Assisting with all admissions related tasks such as new parent registration
  • Maintaining and updating student record in our online databases.
  • Assists in executing special projects (i.e. event setup, research, cleaning, etc.) as assigned.
  • Participate in professional development and training activities as required/necessary.
  • Assist in receiving, counting, opening, unpacking, dating, stamping, recording, sorting and distributing incoming mail, documents, books, materials and supplies
  • Clerical work as needed (copying, filing, mailings, etc.)
  • Maintain school supply closet organized and stock
  • Assist with inventory control and inform Office Manager for low supplies
  • Maintain Lost & Found, organized and locked
  • Manage any issues with printers, restock with paper every day and throughout the day
  • Assist each day with lunch/recess duty, dismissal and front desk coverage
  • Other task as needed

Minimum Qualifications

  • Strong commitment to Growing Up Green Charter School's mission and green theme
  • Demonstrated ability to work collaboratively
  • Excellent organizational skills
  • Ability to work in a fastpaced environment
  • Experience working with kids, especially middle school age is a plus
  • Superb time management skills
  • Proficient experience with Microsoft and exceptional computer skills
  • Maturity, sense of humor and strong work ethic
  • Bilingual (Spanish) ideal, but not required
  • Hourly rate is $25/hr.
  • Part-Time schedule: School days from 7:30am12:30pm. Up to 25 hours per week.

Education

  • Bachelor's Degree in Finance, Education or other related field required
  • At least 1 to 2 years administrative experience, preferably in an educational setting

Required Certificates & Licenses:
NYC DOE/Fingerprinting & Back
