- Bachelor's degree with two years of administrative and customer service-related office experience
- Demonstrated proficiency in Microsoft Office suite (i.e., Excel, Outlook)
- Customer service experience, utilizing high level of verbal and written communication skills
- Prior University/higher-education work experience, preferably in a Registrar's Office
- Familiarity with Ellucian Banner student information system
- Knowledge and understanding of, and ability to adhere to, Family Educational Rights and Privacy Act of 1974 (FERPA) guidelines as it pertains to maintenance, processing, and discussing student academic records
- Possess excellent attention to detail, organization, analytical, critical thinking, and problem-solving skills with an ability to interpret and apply knowledge to a variety of situations
- Ability to work flexible hours including evening and Saturday hours, if necessary
- Able to perform under tension when presented with tight deadlines, which are a regular, consistent part of the position
- Candidates must be legally authorized to work in the United States. Visa sponsorship and relocation allowance is not available for this position.
- Upon hire, candidate must have reliable transportation to all HPU worksites and other locations as required by the position.
- Report to work obligations to support the department and may require work during HPU's winter break, if necessary.
- This position may be considered an essential position with report to work obligations depending on the type of emergency, campus closure, or evacuation.
- Must meet training and background check qualifications and comply with the Protection of Minors policy.
- Able to work all shifts and extended hours as needed.
- Successful candidate will be able to work in an environment that utilizes excellent time and stress management skills.
- Registration and Concierge Services (70%)
- Deliver excellent and timely service to students, staff, faculty, and the general public who walk in, phone, email, mail, chat and fax
- Provide information and assistance to all constituents including, but not limited to, interpretation and implementation of academic, financial, and administrative policies of the University relevant to the registration of students and maintenance of academic records while adhering to FERPA guidelines
- Advise and assist students with the registration process, deadlines, policies and procedures, maintenance of records, and services available to them, while maintaining strict confidentiality of information pertaining to individual student records
- Determine student registration eligibility by reviewing, placing, and releasing holds, and ensure that proper documents are submitted
- Assist with training of Registration Coordinators, as needed
- Review late and retroactive add/drop requests and ensure that proper documentation has been provided before processing them, then forward appropriate requests to Associate Registrar or Registrar for grade changes
- Support the Associate Registrar and Registrar with Banner set-up for registration-related functionality, and prepare initial Academic Calendars for upcoming registration cycles
- Communicate Leaves of Absence and Withdrawals to University constituents
- Distribute UPASS stickers and verify enrollment eligibility
- Assist in block registration of Special Status, Visiting, and Nursing Cohort students
- ID Card System Maintenance (25%)
- Maintain student ID card system by troubleshooting and reporting relevant issues, and conduct monthly inventory of ID card supplies
- Approve user-submitted photographs for the University ID card system while enforcing photograph requirements
- Print staff and faculty ID cards, Nursing instructor/student clinical badges, and relevant vendors and others as appropriate
- Performs other related duties as assigned (5%)
- Actively participates as an effective member of team by completing assigned duties, accepting additional assignments or reassignments
- Assist with Graduation Ceremonies as needed or requested
- Participate in virtual New Student Orientation presentations
- Special tasks or duties as assigned by the Associate Registrar or Registrar
