About the Role & Team
We lead all aspects of production activity on an 800+ acre filming ranch, including schedules for crews & scouts, collaborating with locations and production managers, and ensuring that productions run efficiently We are also responsible for the administration of contracts, invoicing, and payments, and will work with Operations and Finance partners to manage budgets, vendors and maintenance associated with the production sets.
What Will You Do?
- Track multiple simultaneous production holds across 42+ filmable ranch locations.
- Schedule and attend all directors and tech scouts, identifying clients' needs and requests, communicating details back to Ranch teams.
- Arrange, hold and book dates for each location and schedule all support services.
- Prepare License Agreement Contracts for signatures, acquire certificate of insurance and follow through with final invoicing and payment for each production.
- Distribute contracts, forms and memos to all appropriate partners, including Finance, Legal, Risk and Safety.
- Plan all production support space, including equipment, crew & extras staging areas at each location. Coordinate restoration and repair after each shoot.
- Supervise all prep, shoot and strike activity at each location to minimize impact to the area and ensure compliance of all Ranch Rules.
- Maintain positive working relationships with Locations Managers, Producers and other collaborators, understanding their requirements and needs to help encourage repeat bookings.
- Irrigation
- Develop an understanding of all irrigation lines placed around the sets/locations and where the turn off/on controls are located.
- Electric
- Learn the location, amperage, connection requirements and how to control all power sources on property.
- Vehicle operations will be trained and able to operate vehicles (tractor, allterrain, SUV), in support of production & operations.
- Wildlife interaction including snake relocation and monitoring of wildlife cameras.
- Crisis preparation and support for fire, life & safety
- Identify and track general maintenance projects for productions sets.
- Complete maintenance tasks assigned by Production Manager, based on appropriate skill level and expertise.
- Coordinate with Ranch Operations Manager and thirdparty vendors to schedule projects and tasks as needed around filming activity.]
- Handle the department production calendar, ensuring all holds, bookings and cancellations are accurately placed and tracked for utilization reporting.
- Assist Production Manager with Marketing & Outreach efforts, including department website updates, industry events, site tours and other community outreach.
- Build and maintain production files, answer phones, order supplies, pickups and deliveries and provide accounting support through invoice and P.O. processing.
Required Qualifications & Skills
- 2 or more years of Production Coordinator experience.
- Experience with Microsoft Office, SAP and quality customer service skills
- Strong written and verbal communications skills
- Work optimally in a team environment
- Robust organizational skills and attention to accuracy with the ability to multitask and prioritize deliverables
- Valid California driver's license and the ability to traverse rough terrain
Preferred Qualifications
- College degree and production locations experience
- Experience with Media Pulse/Xytech
- Comfortable in a ranch environment rural conditions, indoor/outdoor, wildlife encounters.
- Experience with fire safety response, emergency team support and CPR/First Aid
Education
- High school degree or equivalent experience
