Summary:


The Project Coordinator's main responsibilities lies within coordinating material orders between our vendors and our superintendents along with scheduling projects.

They will also ensure our field staff are prepared for their daily projects by demonstrating excellent communication and having orders placed in a timely manner.

It is imperative to have a steady line of open communication between our team and our customers in the role to be successful.

This role is a valued role in the organization as the liaison between office operations, our customer partners and field operations team.

This position assists departmental managers with day-to-day tasks, provides support with common administrative duties, and takes action based on knowledge of the company's policies and procedures.

Another important layer of this role is finding creative ways to reduce costs and aim to reach budget goals.

Someone who will excel in this role should have a good understanding of evaluating performance metrics and making adjustments to continually grow the department.


Responsibilities:


  • Coordinate and review material deliveries based of off takeoffs and orders from team members.
  • Build good working relationships with vendors to ensure deliveries are prompt and up to par with our logistics standards.
  • Provide administrative support to management and field construction staff.
  • Managing cost reports, analyzing budget variances, and recommending strategies to lower project costs; reviewing labor quantities and phases to facilitate accurate project tracking.
  • Demonstrate leadership qualities and model behaviors of ALM standards.
  • Monitor project activities to ensure that instructions are followed, deadlines are met, and schedules of customer service and maintenance are maintained.
  • Complete paperwork and reporting in a timely manner.
  • Maintain filing systems and archive files as needed.
  • Reconcile purchase orders, order acknowledgements, picking tickets & back orders in a timely manner.
  • Manage purchase orders using Sage to provide clean purchase orders to Accounts Payable.

Qualifications:


  • 1 2 years Construction Landscape experience is a plus.
  • Flexibility in prioritizing daily projects and working under pressure.
  • Knowledge of plants, hardscape, excavating, grading and irrigation materials.
  • High level of communication skills, and responsiveness.
  • Ability to stay organized, multitask, plan and set priorities with mínimal supervision.
  • Goal setting and tracking experience.
  • Ability to work well independently and in team settings.
  • Ability to exercise good judgment with a strong attention to detail.
  • Fluency in Microsoft Excel and Outlook
  • Bilingual in Spanish is a plus.

Physical Demands:


  • Stand and walk for extended periods of time.
  • Ability to frequently move supplies of up to 25 pounds and occasionally lift weight consisting of 75 pounds.

Work Environment:


  • Office Setting w/ occasional construction job site visits.

Pay:
From $16.50 per hour

Expected hours: 40 per week
