Position Description:
Duties and Responsibilities:
- Creates hard copy and automated case files for persons placed under the department's supervision.
- Maintains the files according to established procedures.
- Receives, verifies, and records address, phone, and employment status changes of supervisees.
- Notifies supervisees about required court appearances or other appointments.
- Verifies court activities related to supervisees and confirms court dates using automated records, court contacts, and official records.
- Notifies pretrial officers about noncompliance issues and prepares correspondence informing supervisees about noncompliance issues.
- Ascertains the next business day's workflow and assembles necessary files or lists.
- Performs data entry necessary to compile the department's monthly and annual reports.
- Collects fees and reconciles collections.
- Prepares collections for deposit with the County Treasurer and maintains collection records.
- Processes required reports according to County Auditor guidelines.
- Assists with chainofcustody procedures for urine specimens and processes accompanying paperwork.

Requirements:

HRRM Clerical Skills Test and
score a minimum of 85% with a typing speed of 45 W.P.M. and 85% accuracy. - Please see testing instructions in the General Information section below
Education and Experience:
- High School Diploma or G.E.D. equivalent from an accredited educational institution.
- One (1) year of fulltime paid general office/customer service experience performing some clerical duties.
Knowledge, Skills and Abilities:

Bilingual in English and Spanish

- Ability to handle constant telephone use, and perform repetitive typing, ability to interact continuously with defendants, ability to handle specimen containers.
- Ability to type 45 words per minute.
- Excellent interpersonal communication skills.
- Excellent organizational skills.
- Ability to provide superior customer service under stressful conditions.
- Commitment to respect and serving the public.
- Must take the HRRM Clerical Skills Test and score a minimum of 85% with a typing speed of 45 w.p.m. with 85% accuracy. Please see General Information for Clerical Testing Instructions.
Additional Requirements:
- All new employees are required to present evidence of a TB skin test prior to employment.
- Upon receiving a conditional offer of employment, all applicants are screened for the presence of illegal drugs.
- Ability to obtain clearance based on a criminal history background check.
- Upon receiving a new employee badge, you will be required to complete and pass a bilingual proficiency assessment.
- Employment is contingent upon passing a criminal background check.
Automatic Disqualification:
- Convictions, probation, or deferred adjudication for any Felony, and any Class A Misdemeanor.
- Convictions, probation, or deferred adjudication for a Class B Misdemeanor, if within the previous 10 years.
- Open arrest for any criminal offense (Felony or Misdemeanor).
- Family Violence conviction.
Preferences:
- Paid work experience in a criminal justice setting.

Most recent test scores are retained for up to 6 months
Position Type and Typical Hours of Work:
- Regular Fulltime
- Monday
- Friday | Hours will be discussed during departmental interview.
- Scheduled hours to be determined and may include weekends and holidays.
- Must be available to work flexible schedule as needed.
- Must be available to work overtime as needed.
Salary:
- Depends on Qualifications
- Based on 26 Pay Periods

Work Environment and Physical Demands:
- Continuous interaction with defendants and the public.
- Bending to move and store files and reports; repetitive typing; constant telephone use; able to push, pull, lift, and carry up to 20 pounds; handling urine specimen containers.
Employment may be contingent on passing a drug screen and meeting other standards.
