***: The Payroll Specialist reports to the Accounting Manager and supports the Payroll and account reconciliation processes in addition to performing other duties as assigned by the Operational Accounting Manager.


POSITION DUTIES & RESPONSIBILITIES:

Payroll


  • Transmit bi-weekly payroll to payroll service provider for entire company and all employee types (i.e. exempt/non-exempt, full-time/part-time/on-call, salary/hourly), including the review and validation of timekeeping and payroll reports to resolve all discrepancies
  • Administer garnishments and wage withholding orders and coordinate with corresponding agencies to resolve issues or discrepancies
  • Coordinate with HR team to obtain and track payroll data including salary adjustments, special payments, new employees, and employee terminations
  • Respond to payroll-related inquiries from employees and resolve concerns and issues
  • Generate manual checks and stage supporting documentation for review
  • Assist in the management of system interface between the HCM and Timekeeping systems
  • Liaise with payroll and timekeeping service providers
  • Maintain timekeeping system reference tables and multiple job adjustment rules
  • Assist in the registration of new states and local jurisdictions and update the HCM and Timekeeping systems for all applicable jurisdiction requirements
  • Audit Forms W-2 prepared by payroll service provider and distribute all forms to employees following calendar year-end
  • Prepare monthly and quarterly payroll reconciliations
  • Provide supporting documentation for financial statement and other audits as well as information required for tax Form 990
  • Prepare journal entries
  • Prepare account reconciliations and investigate reconciling items
  • With applicable training serve as a backup to other accounting clerk positions (accounts payable, procurement, accounts receivable, corporate credit card administration)
  • Other duties as assigned

QUALIFICATIONS:


EXPERIENCE and/or EDUCATION:

2+ years' experience in Payroll roles (including experience with timekeeping and payroll processing systems)

Associates degree in accounting or business-related field preferred


  • In-depth Payroll knowledge in order to work independently
  • Basic understanding of GL accounts and Debits/Credits
  • Intermediate Excel skills preferred
  • Excellent interpersonal and customer service skills
  • Proven initiative for working independently
  • Ability to work as part of a team or collaborate well with team members and external collaborators to accomplish mutual goals
  • Ability to work efficiently and communicate with staff, cross-functional teams, and external customers from different identities and experiences
