A Holistic and Integrative clinic is seeking a Clinic Manager to join and lead the team in the Santa Monica area.

We are looking for our Clinic Manager with a positive team spirit to grow together.


Description:
The Clinic Manager is responsible for all clinical operations. Including, overseeing and important pillars of the operations and business of the clinic.

The role of this position requires 1-3 years of clinical knowledge and experience in front and back-office support for a medical clinic.

This role will seek to optimize leadership to grow the practice and excel.

This individual must be able to foster teamwork through collaboration with front desk staff, clinicians, acupuncturists, independent contractors, vendors, to ensure positive results in improving care and outcomes for our patients.

We are willing to train the right individual with a can-do attitude and eager to learn.


Duties & Responsibilities:

  • Patient care is a top priority. Ensuring that patients are provided with a warm, friendly, excellent clinical experience from start to finish. Actively resolving any issues or complaints effectively and ensuring a positive outcome.
  • Responsible for the clinic's productivity. Actively managing the scheduling team to ensure that the clinic's schedules are optimized for growth.
  • Responsible for clinic's accounting by completing daily reconciliation, weekly & monthly financial report, preparing payroll and various payments, including audits and working directly with the accounting team.
  • Overseeing insurance billing and reimbursement for the clinic and patients. Working directly with medical billers and assisting in resolving any billing issues and discrepancies.
  • Coordinating and communicating with directors to ensure patients receive an excellent standard of care and the clinic is meeting key performance targets.
  • Manage office staff including hiring, firing, training, and completing regular performance evaluations.
  • Manage HR, including PTO for staff and maintain a safe work environment.
  • Identifying staff educational and training needs; initiating and implementing individual action plans to maintain staff competence; provide continuous support and acts as a resource to staff.
  • Managing the implementation, training, and evaluation, of all clinical procedures.
  • Responsible for all company compliance, policies, and procedures. Develop necessary policies and operational procedures for the clinic.
  • Responsible for managing inventory and ordering supplies as needed, to ensure the office is always well stocked.
  • Proactively collecting data to ensure timely data reports.
  • Seek to gain knowledge on the operations and provide support and guidance, as changes occur to keep abreast of new opportunities.
  • Work with the operations team in developing, supporting, and activating disaster recovery strategies for redundancy.
  • Problem solving ability to describe the problem (using data collected), identify possible solutions, select a solution with rationale for decisions made.
  • Develop new monitoring tools to ensure sustainable improvements and know when to escalate problems when necessary.
  • Creative individual that looks at a situation and finds the best approach to resolve issues, improve workflows, and create new procedures that will benefit the practice.
  • Assisting with marketing and networking. Building strong relationships with other clinics and supporting the marketing team.
  • Recommends and assists leadership with the development of improvement plans in conjunction with department leaders in response to identified deficiencies.
  • Performs other related duties as assigned.

QUALIFICATIONS
EDUCATION and/or EXPERIENCE

  • High school or equivalent. Bachelor's Degree (BA) from fouryear college (preferred)
  • Must be fluent in English.
  • Bi-Lingual in Spanish (preferred)
  • 13 years' experience in a medical office, or equivalent combination of education and experience. Willing to train.

  • Strong presentation skills to directors, doctors, and staff.
  • Well organized and obtain problem solving skills.
  • Detail oriented, creative, and disciplined.
  • Think outside the box mindset and be able to understand clinic's goals and objectives.
  • Strong written, verbal communication and leadership skills
  • Ability to multitask and prioritize in accordance with changing deadlines and priorities.
  • Ability to work independently with mínimal instruction to prioritize and organize work assignments and / or projects.
  • Professional and team spirited. Ability to work with a variety of personalities in an effective, professional manner.
  • Ability to train others and support the development of training materials.
  • Cando attitude and eager to learn.
  • Must have computer skills; Knowledge of QuickBooks, Microsoft, word, excel, etc.
