Description

RK&K is committed to finding a dedicated and strong Administrative Assistant for our Austin, TX office in support of our Transportation Engineering Group.

In this role, you will provide task-oriented support for our projects and teams.

You will be responsible for these essential functions:
Essential Functions Office/landlord communication, work orders Baltimore contact for office, events, fleet, etc.

Phones, mail, shipping, greeting visitors Orders, vendors - coffee, office supplies Expense reports Follow up on open tasks Assisting in scheduling meetings New employee onboarding and coordination w/Baltimore Fleet, Inspector mileage assistance/monitoring/auditing Printer/Copier/IT communication and support Conference registration, airlines, hotelsAssist in gathering info for project setup (agreements, NTP, contracts), submittals through RKK portal.

Update/monitor tracking material (consultant contacts, FY strategy, DBE/HUB tracking ) Assist preparing info for strategy meeting as needed Scheduling meetings Review proposals Assist with proposal close-out/data entry in Deltek Assist in contract invoice setup/monitoring/processing/tracking Project status report development and updates (from data provided by others) Project document control & document management support (provide training) Processing submittals/ QC Scheduling contract and client meetings
Required Skills and Experience Minimum two (2) years' professional office administration experience Advanced Microsoft Word and Excel skills with working knowledge of other Microsoft Office products Ability to exercise sound judgment in managing confidential or sensitive information Excellent oral and written communication skills Excellent interpersonal and professional skills Ability to work in a fast-paced and demanding environment Excellent time management skills and ability to multi-task Highly organized and meticulous attention to detail
Preferred Experience and Education Prior experience in AEC administration Prior experience with Adobe Creative Suite
