The Service Coordinator is a full-time, position in the Service Department. Hours worked are 8:00 a.m. - 5:00 p.m. with one hour for lunch, unless the Manager determines that business needs warrant a different work schedule.Primary Responsibilities of the Service Coordinator:
Dispatching technicians to customer locations. Coordinate the invoicing process for the service department (using parts, labor, outside purchases, etc.)
The Service Coordinator will:
- Be service oriented.
- Have strong administrative skills.
- Be organized, detailoriented, a good record keeper, good with numbers, spreadsheet/PC literate.
- Have good communication skills with the ability to effectively interact with customers, vendors and all levels of employees throughout the corporation, while fostering a team environment within the Service Department administration team.
- Be a selfstarter, a highly motivated individual with the ability to handle multiple tasks, interruptions and changing priorities.
- Have product knowledge or the aptitude to learn the product in a timely manner.
Main Tasks of Service Coordinator:
- Dispatching technicians for service calls;
- Responding to service calls from external and internal customers;
- Invoicing, including verification of work performed prior to invoicing;
- Investigating invoice questions for external and internal customers;
- Investigate credit card verification issues;
- Investigating labor posting questions;
- Verification of warranty;
- Work in Process management
- Provide reports to technicians (ex. WIP, SM due, etc.)
- Posting labor time to jobs;
- Posting Outside Purchases and approve vendor invoices
- Posting expense sheets, vacation requests;
- Keep vacation and sick leave records;
- Track hours worked and prepare final timesheets to submit to payroll;
- Coordinate scheduled maintenance activities;
- Setup/handle installation prep / 90day (order tracks);
- Answering telephones; check night mail;
- Serve as backup for other members of the administrative team, as needed;
