STATEMENT OF PURPOSE
Maintains effective operation of all functions and processes in the Human Resources Department with focus on the benefits. Provides effective backup to the HR Director and HR staff.


QUALIFICATIONS

  • Bachelor's degree and 1 year work experience in the Human Resources field.
  • Computer skills (Microsoft Office Suite), strong telephone and interpersonal skills, highly organized and detail oriented.
  • Experience with benefits preferred.

PHYSICAL DEMANDS
Frequent sitting for long periods of time. Occasional walking, standing, bending and reaching. Occasional lifting up to 20 pounds. Occasional pulling and pushing up to 30 pounds. Corrected vision and hearing to a normal range. Finger dexterity. Occasional exposure to stressful situations.

MAJOR TASKS, DUTIES AND RESPONSIBILITIES

General Staff Accountabilities

  • Provides appropriate notice prior to vacation/time off, and notifies supervisor a minimum of two hours prior to shift when unable to come to work.
  • Observes allotted break and meal periods as prescribed by Hospital Policy and follows time clock procedures by accurately clocking in and out.
  • Attends to personal affairs to avoid any interference with productivity.
  • Adheres to the Dress Code.
  • Demonstrates an understanding of their personal role in the case of a fire/disaster, and participates in Performance Improvement activities.
  • Functions with an awareness of patient safety issues and applies basic principles of safety as identified within the facility.
  • Follows the occurrence reporting policy and procedure in reporting any potential safety issues.
  • Effectively reconciles monthly insurance bills interacting with the brokers and insurance providers as needed; ensures all are paid timely.
  • Effectively assists HR Director in facilitating all benefit open enrollments which includes preparing for annual health benefits fair, scheduling quarterly 401k open enrollments and notifying all staff of such open enrollments.

Job Specific Duties

  • Effectively administers ACA compliance by tracking employees in their measurement period and assisting HR Director with generating accurate 1095C forms and filing 1094C transmission to the IRS in a timely manner.
  • Effectively ensures all newly benefit eligible employees (health and 401k) complete their benefit enrollment in a timely manner assisting employees as needed.
  • Effectively inputs health benefit and 401k data into the HRIS systems including new enrollments, changes and terminations.
  • Effectively distributes annual 401k fee disclosure notices and any other 401k notices that are required to be sent.
  • Effectively interacts with the TPA to ensure 401(k) loans and distributions are processed accurately and timely.
  • Effectively inputs new 401k loans, pay off and end dates into HRIS system. Maintains 401k loan log every pay period to ensure deductions are accurate, sends loan log to General Accounting whenever there is an update and tracks hardship withdrawals.
  • Effectively prepares various benefit letters to employees in a timely manner.
  • Effectively tracks employees on a leave of absence ensuring premiums are paid and sending insurance reminders and payments to Payroll.
  • Effectively ensures benefit file feeds are sent weekly to various insurance carriers.
  • Ensures initial COBRA notices and qualified beneficiary notices are generated accurately and timely.
  • Generates age reports monthly to ensure proper Life Insurance Coverage/rates and to monitor age of dependents and notifies employees of changes. Updates HRIS system of these changes as needed.
  • Provides effective back up to HR Specialist with worker compensation which includes: reviewing injury reports as needed, communicating with clinic, checking injury and drug test reports and helping maintain modified duty program.
  • Accurately logs worker's compensation declinations.
  • Handles multiple tasks timely and accurately while receiving incoming telephone calls and answering inquiries.
  • Effectively researches and provides written tabulations of data and special projects as requested by Director.
