The Winnisquam Regional School District is seeking a Facilities & Athletic Administrative Assistant for the 24-25 SY. This position supports the Facilities Director (75%), and the Athletics Director (25%). This position is a 220 day, hourly, full time position, 40 hours per week with a great benefits package.

QUALIFICATIONS:
1. High School Diploma or equivalent, Associates Degree preferred2.

Minimum of 5 years of relevant experience preferred3. Excellent leadership and organizational skills, integrity, and demonstrate good moral character and initiative4. Knowledge of administrative and clerical procedures and systems, including technology such as word processing, excel, & accounting system5.

Strong communication skills, written and verbal, and the ability to collaborate and establish good public relations with the community, administrative staff, student body and school board6.

Ability to work with data including compiling, coding, categorizing, calculating, auditing, or verifying information or data7. Knowledge of principles of Title IX, NH Interscholastic Athletic Association, NH Department of Education rules and School District Policy8. Attention to detail, ability to work independently, and willingness to take on responsibilities and challenges


JOB DESCRIPTION:
1. Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheets, database or presentation software2.


Conduct research, compile data and prepare papers for consideration and prepare papers for consideration and presentation by executives, committees, and the School Board3.

Greet visitors and determine whether they should be given access to specific individuals4. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution5.

Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work such as entering purchase orders, matching invoices, collecting and auditing timesheets and maintaining Administrators calendar6.

Maintain physical and electronic files7. Maintain electronic work order scheduling system8. Support and work closely with SAU, Maintenance, Grounds, & Facilities staff9. Any other duties assigned by SAU Administrative staff10.


Track and maintain files and records for all coaching staff, prepare POs and process payments for all necessary dues, fees, and registrations, etc.11.

Provide administrative support and scheduling of building use for all recreational athletics staff, programs, facilities and activities12.

Prepare certificates and awards each season for every sport as necessary, promote extracurricular athletic activities that foster skill development, understanding of sports, and appreciation for the variety of athletic activities and programs, teaming, and sportsmanship for students and adults13.

Assist with scheduling all athletic contests, ensure officials are assigned and paid as defined by the rate set forth by the NHIAA, and arrange transportation for all contests14.

Manage athletic website, enter rosters, communicate with parents and post announcements as needed15.

Create weekly schedules and bus confirmationsJOB RESPONSIBILITIES:

  • Follow all rules and regulations of the NHIAA, including preparing eligibility lists, submitting schedules, dues, team records and other documents that pertain to NHIAA* Follow all school rules and regulations and school board policy
  • Prepare and maintain an annual budget for athletic programs
  • Coordinate the use of district facilities and fields prior to each athletic season to address the needs of the middle school, high school, and community
  • Keep an updated inventory of all athletic equipment and uniforms, and keep in satisfactory condition, provide replacement supplies, equipment, and uniforms as necessary
  • Schedule the use of all athletic facilities and fields following procedure and in coordination with the Facilities Director
  • Assist with cancellation of games as circumstances require to protect athletic participants and district resources
  • Arrange and confirm bus or other transportation for athletic participants and verify all participants have proper permission forms for alternative transportation
  • Serves as personal and technical assistant to the Director of Facilities
