Wilhelmsen Port Service is seeking a Ship Agency Administrator in our Pasadena office.

To provide Ships Agency assistance within the area of general duties within the agency scope of work as requested.

  • Main responsibilities
  • Provide administrative support to Port Services/Ships Agency as requested/instructed.
  • Cover MCA desk for when operator is out every other weekend, vacations or as neededHandle final process of Bills of Lading once approved by Agency Operator
  • Forwarding & receiving of ships mail
  • Work with WASP dashboard / Ship TrackingWork with SharePoint to centralize information/data (terminal info, agency fee, vendor tariffs, etc.)
  • Audit & check Operations Files/Folders, file the folders away in the storage room, manage storage room, have file folders taken to offsite storage
  • Other duties not listed that may arise and requested by management.
  • Qualifications
  • Maritime Administrative Experience preferred, but not required.
  • Excellent written and oral communication of the English language
  • Proactive and well organized.
  • Ability to work independently and systematically and under pressure at times.
  • Thorough and attentive to details.
  • Valid Driving License
  • Nights and weekends required on rotational basis.
