We are seeking a dynamic and organized Operations Coordinator to become an integral part of our team.

Reporting directly to the Operations Manager, you will play a pivotal role in ensuring the seamless execution of day-to-day operational activities.

This full-time position requires to work on-site at our office in Downtown Los Angeles.

Supervisory Responsibilities:

None


Essential Functions:


Facilitate Operational Efficiency:
Provide vital support by assisting and monitoring daily operational activities, ensuring a smooth workflow.


Inventory Management:
Take charge of inventory management processes, including ordering, receiving, and maintaining optimal stock levels.


Event Coordination:
Collaborate closely with the Operations team to plan and organize engaging events, conferences, and employee engagement activities.


Administrative Support:

Provide thorough assistance in various administrative tasks, including but not limited to coordinating travel arrangements, managing expense reporting, processing orders and reimbursements, overseeing building requirements, conducting data entry, and maintaining meticulous filing systems.

Proficiently handle incoming and outgoing mail, packages, and deliveries to ensure seamless operations.


Customer Service:
Deliver exceptional customer service by warmly greeting and welcoming visitors with professionalism and courtesy. Handle incoming phone calls promptly and efficiently, addressing inquiries from clients, visitors, and staff members with attentiveness and clarity.


Documentation and Reporting:
Efficiently organize and manage documents, ensuring their accuracy and accessibility. Prepare and maintain essential operational documents and reports, facilitating informed decision-making processes within the organization.


Cross-functional Collaboration: Actively participate in cross-functional teams to contribute to organizational initiatives and projects.


Adhoc Tasks and Assistance:
Remain flexible and responsive to address any adhoc tasks or help as required by the Operations Team.


Relationship Management:
Cultivate and maintain quality relationships with team members, stakeholders, building administrators, security personnel, and vendors.


Process Optimization:

Drive continuous improvement by identifying new ways to streamline processes, researching innovative technologies, and strategizing cost-efficient savings for the organization.


Requirements and Skills:


Proven Experience:
Demonstrated work experience as an Operations Coordinator, Customer Service, Admin or in a similar role.


Operational Expertise:
Possess a strong understanding of operational processes and best practices.


Time Management:
Exhibit excellent time management, prioritization, and multitasking abilities.


Interpersonal Skills:
Showcase exceptional interpersonal skills to foster strong relationships with colleagues.


Communication Proficiency:
Communicate effectively through speaking, writing, and active listening.


Feedback Orientation:
Comfortable giving and receiving feedback and constructive criticism from various channels.


Strategic Planning:
Demonstrate exceptional proficiency in strategic planning, exhibit strong problem-solving skills, and showcasing resourcefulness.


Software Proficiency:
Proficient in MS Office suite and other relevant software.


Attention to Detail:
Pay meticulous attention to detail and a proactive approach to tasks.


Team Collaboration and Flexibility:
Ability to work effectively both independently and as part of a team. Flexibility to adapt to changing priorities, willing to learn and work under pressure.
