    Job Description:

    The Events & Communications Specialist is the primary event planner for the Office of Academic Affairs.

    In addition, Events & Communications Specialist is responsible for updating and maintaining the Office of Academic Affairs website, drafting and publishing the monthly Office of Academic Affairs newsletter, and providing support for the Director of Engagement and Planning for the Executive Vice President & Provost.

    This individual must demonstrate attention to detail and have a creative mindset, proven experience in event planning and coordination, excellent written and verbal communication skills, and strong organizational and multitasking abilities.

    This individual must have the ability to work independently, completing tasks without reminders, and is part of a team. Previous experience in higher education or academic setting is a plus.


    Job Responsibilities:


    With guidance and oversight from the Director of Engagement and Planning for the Executive Vice President & Provost, organizes, plans and executes all events for the Office of Academic Affairs, and the Learning & Teaching Collaborative.

    Signature events include Faculty Awards, Promotion & Tenure Ceremony, Boyd Professor Ceremony, Administrator Roundtables, Faculty Colloquium, New Faculty Summit, Summer Leadership Institute, REFRESH, and the New Chairs Workshops.

    Creates and manages calls for nominations, event invitations, targeted event reminders, scripts and promotional material. Books venue(s), catering, and completes approval paperwork for accounting purposes. Created detailed event briefings with all pertinent information, shares this with stakeholders in advance and surveys attendees. 65%

    Completes all necessary paperwork for special events and purchases and reconciles expense transactions within 30 days. Maintains compliance LSU's accounting and procurement policies and procedures, and keeps event expenses within budgeted amount.

    Provides monthly budgetary updates on events to Director of Engagement and Planning for the Executive Vice President & Provost and Assistant Vice Provost for Policy & Administration.

    Maintains detailed records on all expenses for events. 15%


    Responsible for updating the website for the Office of Academic Affairs, the Learning & Teaching Collaborative and other sub-units as assigned.

    Updates the website with personnel changes in the office, new policies, events, or other relevant material.

    Solicits and organizes content for the Academic Affairs newsletter and sends to the Director of Engagement and Planning for the Executive Vice President & Provost for approval.

    Maintains a regular publishing schedule for newsletter and sends reminder e-mails for content, as applicable. Reports on performance of the newsletter (i.e. open and click through rates). 15%

    Works collaboratively with the Office of Communications and University Relations and adheres to the standards set by the division. Other duties as assigned. 5%


    Minimum Qualifications:
    Bachelor's degree with 1 year of full-time job related experience.


    Preferred Qualifications:
    Bachelor's degree with - 5 years of full-time job related experience.

    Specific Experience - Experience in a higher education setting is a plus.


    Additional Requirements:

    • FERPA -As with all LSU employees, due to this position title and/or responsibilities, this position has an obligation to assist students in the acquisition of necessary services. Should a student appear in need of or seek assistance with issues of an emotional, behavioral, or mental health related matter they should be referred to the proper service within the Student Health Center. In situations where the student creates an impression that they are a danger to themselves or others, the advisor should immediately contact the Care Team, the Dean of Students or the appropriate law enforcement agency. The employee outside of those rights contained within FERPA should create no impression of client or patient confidentiality.
    • Due to the nature of the position and/or responsibilities, in times of emergencies and/or University closures, this position is considered operational essential. It may be required to assist the Office of Communications and University Relations on necessary communications matters in times of crisis, including potentially working in LSUs Emergency Operations Center during those times.
