Position Overview:


Under the direction of the Office of Communication, Education and Engagement (OCEE) Director, the Executive Assistant will provide administrative support for the Director and Associate Director, and/or Harris County Public Health Executive Leadership Team.

The OCEE Executive Assistant will be responsible for handling all of the office-related affairs to ensure smooth and efficient operations and continuous quality improvement.

This position will be required to follow all policies and procedures provided by Harris County Public Health (HCPH) and comply with HCPH confidential information related to personal information.


Duties & Responsibilities:


  • Provides executive administrative support (i.e communications, scheduling, ordering of supplies, logístical tracking and research, special projects, travel, etc.) to Director and leadership team
  • Draft, review, and send communications on behalf of the OCEE Director.
  • Creates and tracks Commissioners Court requests and approval documents and requisitions/purchase orders in PeopleSoft/STARS enterprise resource planning system.
  • Provides training and guidance to the team on agencywide protocols and procedures to ensure OCEE compliance with HCPH purview and strategies.
  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings.
  • Maintain various records and documents for the OCEE Director.
  • Answer and respond to phone calls, and communicate messages and information to the OCEE Director.

Requirements:
Education:


  • High school diploma or equivalent.

Experience:


  • At least five (5) years of experience in administrative support role.

Knowledge, Skills and Abilities:


  • Ability to communicate effectively electronically, via telephone, and inperson
  • Ability to collect and analyze data and make recommendations
  • Ability to be wellorganized, able to multitask, and able to work in a fastpaced environment
  • Advance Proficiency in Microsoft Office Suite software including 365 programs
  • Excellent oral and written communication skills (verbal & written)
  • Ability to establish and maintain effective working relationships and foster teamwork in a diverse environment
  • Ability to work well with public and staff members
  • Ability to work in a high stress environment
  • Ability to be productive without limited directed supervision
  • Ability to maintain confidentiality when dealing with sensitive information

General Information:


Position Type and Typical Hours of Work:

  • This is a full-time position
  • Days and hours of work are typically Monday through Friday, from 8am to 5 pm
Other days and hours as necessary

  • Telework option available after 90 days of consecutive employment.

Work Environment:


  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
