If you have a positive demeanor with a high level of professionalism, we have an excellent opportunity for you In this role you will be responsible for providing full administrative support and broad activities of a highly responsible and confidential nature for VPs in GTM and LP, Directors in GTM.


Here's what you will do:

  • Serve in a critical support role to the VP in GTM & LP and GTM Directors and can impact the effectiveness of the VPs, Directors and staff.
  • Coordinate diverse activities which involve significant interaction, with Regional Directors and their support staffs/assistants and Directors and their staff.
  • Anticipate the needs of the VP and Directors, based on knowledge of the VP/Director's mode of operation and individual preferences, coordinate, research, delegate, compile, and organize any work necessary to meet those needs.
  • Review, delegate and distribute incoming work in the absence of the VPs and Directors.
  • Manage the time of the VP & Directors independently and with significant discretion, refer calls and questions to other areas, and organize to make the most effective use of the VPs and Directors time.
  • Prepare correspondence, documents, presentations, meeting minutes and other reports including tracking and reconciling expense reports.
  • Provide support to include managing frequent and complex travel, conference reservations and event planning, heavy and complex calendar management, and arranging business meetings and communication with vendors, business associates, and customers.
  • Provide backup support for other administrative assistants as needed.
  • Additional responsibilities may be assigned as needed.

Who you are:

  • You have:
  • Administrative certification or equivalent experience, e.g., spreadsheet/database management, accounting and business math, business communications.
  • 5+ years of secretarial/administrative work experience.
  • Experience with presentation preparation.
  • High degree of attention to detail, problem solving and organizational skills.
  • Strong knowledge of company databases, enterprise structure and standard operating procedures.
  • A high level of discretion, tact and diplomacy in dealing with internal and external contacts, and confidential or sensitive information.
  • Flexibility to adjust work hours to support and accommodate VPs and Directors as needed, including during evenings and weekends.
  • You can:
  • Manage and coordinate multiple calendars.
  • Exercise excellent interpersonal skills and demonstrate the ability to work with employees at all levels within and outside the organization in a highly professional manner.
  • Prepare and revise documents for use by senior and executive leaders.
  • Prepare correspondence using excellent grammar, spelling, punctuation and proofreading skills.
  • Create and manage materials at Board level.
  • Recognize and work with confidential information in a professional manner, including such areas as Human Resources matters, company materials and financial matters.
  • Prioritize, organize and coordinate work effectively in a proactive and resourceful manner.
  • Collaborate and work with administrative assistant team.
  • Work independently with mínimal supervision and manage multiple tasks using efficient time management skills.
  • Network and use a variety of internal and external resources to get things done in a fast paced and demanding work environment.
  • The following are considered assets:
  • College degree.
  • Prior experience supporting senior level leadership.
  • Experience with Workday.

Working Conditions:

  • Open office environment.
  • Requires flexibility to adjust work hours to support and accommodate Director(s) as needed, including during evenings and weekends (infrequent).
  • May experience conflict in prioritizing workloads for multiple stakeholders.
  • May require bending, lifting of office equipment, files, etc.
  • Extensive computer usage may cause eye strain.

Physical Requirements include but are not limited to:

Grasping, kneeling, light - moderate lifting (objects up to 20 pounds), reaching above shoulder, repetitive motion, typing, sitting, standing, visual requirement (able to see screens, detect color coding, read fine print), hearing requirement and the ability to sit at a computer for long periods of time.
