Job Summary:

The Administrative Assistant performs a variety of administrative and clerical tasks.

The duties of the Administrative Assistant include providing support to our managers and employees of assigned location/department, assisting in daily office needs and supporting our company's general administrative activities.


Essential Duties and Responsibilities:


  • Answers phones and greets visitors, where applicable.
  • Orders parts for technicians as needed.
  • Coordinates with Capital Asset Specialist and/or Director of Clinical Services for purchasing.
  • Responds to client requests in a professional, timely and courteous manner.
  • Coordinates paperwork for scheduled preventive maintenance inspections; including but not limited to, work orders, service history, inspection reports, audit reports, etc.
  • Collaborates with technicians to prepare monthly reports.
  • Coordinates service calls and requests; may include dispatch and scheduling.
  • Maintains office supply inventory and reorders supplies as needed.
  • Coordinates the economic shipping of packages.
  • Complies with company policies, procedures and government regulations.
  • Maintains a clean and organized workplace/office.
  • Performs additional duties as assigned by the supervisor/manager.
  • Collaborates and cooperates with other company departments in establishing and carrying out responsibilities.
  • Maintains appropriate communications within assigned location/department and throughout the company.

Position Requirements:


  • Above average oral and written communication skills.
  • Demonstrated ability to maintain confidential information.
  • Excellent computer and database skills; including familiarity with Microsoft Office Suite and Google Workspace.
  • Excellent organizational and timemanagement skills.
  • Ability to adapt quickly and reprioritize effectively.

Education and Experience:


  • Minimum of an Associate's degree or equivalent in Business Administration
  • 23 years+ previous experience in an administrative role supporting human resources, accounting, and/or executive level management

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as desktop/laptop computers and smartphones. This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.


Travel:

Travel may be required for this position. Most travel is primarily local and completed during the business day.
