The Herbert Wertheim College of Medicine is currently seeking an Office Specialist to join our team of professionals


Duties Include:

  • Assists in granting Herbert Wertheim College of Medicine (HWCOM) and Masters in Physician Assistant Studies faculty, staff and student access to rall HWCOM designated spaces.
  • Defines Area Sets and Time Zones in the Schlage Access Control System. Adds/deletes/modifies individual student cardholder accessrights as requested by Departments
  • Assist the leadership team with all internal and external space and building card and key access requests by faculty, staff and/or students to all HWCOM assigned facilities.
  • Programs and schedules HWCOM and MPAS faculty, staff, and student access to building entrances. Works closely with Central Facilities in coordinating access request.
  • Liaises with the Office of Medical Education and the leadership team in scheduling openings and closings of designated rooms for special events as requested by Herbert Wertheim College of Medicine (HWCOM) Departments.
  • Updates and reconciles department's files documenting HWCOM spaces, departmental designations and staff space assignments.
  • Prepares comprehensive database reports and/or access inquiries on HWCOM and MPAS student access history reports.
  • Troubleshoots HWCOM and MPAS student card access problems with individual students and FMD Key Bank.
  • Assists the Manager of Administrative Services with Office of Student Affairs, University Registrar, and FMD Key Bank definition of incoming classes HWCOM and MPAS student Panther ID's and Class-Year Group Definitions in the in the Schlage Access Control System.
  • Performs other related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:


High school diploma or GED and four (4) years office or related experience providing administrative support, or coordinating functions of an office or department; OR an equivalent combination of relevant education and/or experience.


Desired Qualifications:

Basic knowledge and understanding of relational databases.
