Description
This is a full-time non-exempt hourly position expected to work in-person at our Penacook, NH office. Regular schedule is Monday through Friday 8am to 4:30pm.Responsibilities:
1. Office Management
- Maintain a tidy and organized office space, ensuring it is conducive to productivity and professionalism. This includes scanning, filing, organizing documents.
- Manage office supplies inventory and place orders as necessary to ensure adequate stock levels.
- Oversee office and equipment maintenance and repairs, coordinating with vendors when needed.
2. Regulatory Support
- Assist operations team with maintaining and meeting recurring regulatory requirement deadlines.
- Draft cover letters, prepare filings and reports, data entry, and upload filings.

Human Resources Support:
- Assist with the onboarding process for new employees, including preparing paperwork and coordinating training schedules.
- Schedule training for safety and professional development.
- Help organize company events, celebrations, and employee appreciation activities.
4. Administrative support
- Prepare and edit documents, presentations, and reports as requested.
- Assist in scheduling appointments, meetings, and conferences.
- Coordinate company vehicle compliance with state and federal requirements, annual registration renewals, and toll transponders.
Financial and accounting:
- Assist with expense tracking, purchase orders, vehicles mileage reports, processing work orders, and reconciliations.
- Maintain accurate records of office expenditures and budgets.
- Assist operations and maintenance teams with generating purchase orders and placing orders for parts or supplies.
Qualifications:
- Proficiency in Microsoft Word and Excel.
- Bachelor's degree in Business Administration or a related field preferred.
- Proven experience as an Office Manager or in a similar administrative role.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong interpersonal skills and the ability to work collaboratively with colleagues at all levels.
- Knowledge of basic accounting principles.
- Attention to detail and a high level of accuracy in all tasks.
- Ability to handle confidential information with discretion and professionalism.
