Position Summary:

Milwaukee College Prep is seeking a highly organized and dynamic Executive Assistant

in optimizing the CEO's capacity to lead effectively, ensuring efficient operation and

management of the executive office. This role requires a proactive approach, excellent

communication skills, and a high level of confidentiality and professionalism.


Key Responsibilities:


  • Administrative Support: Manage the CEO's calendar, including scheduling
meetings, coordinating travel arrangements, and preparing agendas to ensure

optimal use of time.

  • Communication Management: Serve as a point of contact for internal and
external communications directed to the CEO's office, including screening calls,

staff, and stakeholders.

  • Document Preparation and Management: Prepare, edit, and distribute
correspondence, reports, and presentations; organize and maintain files and

records to support decision-making processes.

Event Coordination:
Organize and coordinate executive meetings

and special events, including preparing materials, securing venues, and ensuring

technology setup for effective meetings.

  • Project Management: Assist in overseeing special projects from inception to
completion, ensuring deadlines are met and objectives are clearly communicated

and understood.

  • Confidentiality: Handle confidential and nonroutine information with the utmost
discretion and integrity.


Qualifications:


  • Associate's degree in Business Administration, Communications, or related field
preferred.

  • Minimum of three years of experience as an Executive Assistant, preferably in an
educational or nonprofit setting preferred.

  • Exceptional organizational and timemanagement skills; able to manage multiple
tasks simultaneously with meticulous attention to detail.

  • Strong interpersonal skills and the ability to build relationships with stakeholders,
including staff, board members, and external partners.

  • Advanced proficiency in Microsoft Office Suite, Google Workspace and
experience with scheduling and communication tools.

  • Demonstrated ability to handle confidential information with discretion and
professionalism.

  • Flexible and adaptable in various situations and when interacting with different
personalities.

Work Environment:

This position is based at the central office in Milwaukee, with occasional travel to other

campuses and events as needed. The role typically operates during regular business

hours but may require occasional evenings and weekends.
