Description
We are seeking a meticulous, organized, and detail-oriented individual to join our team as a Clerical Accounting, Payroll, and DOT Files Coordinator.
This dynamic role offers a variety of tasks, focusing on managing paperwork associated with Department of Transportation (DOT) regulations, providing clerical support for accounting tasks, and assisting with payroll processing.
You'll play a vital role in ensuring regulatory compliance, maintaining accurate financial records, and supporting the smooth functioning of our payroll system.
Key Responsibilities:

DOT Compliance Management:
- Maintain accurate and uptodate records of DOTrelated documents, including driver qualification files, vehicle inspection reports, and compliance records.
- Ensure compliance with DOT regulations regarding driver hours, vehicle maintenance, and safety standards.
- Coordinate with relevant departments to collect necessary information and documentation for DOT filings and audits.
Paperwork and Document Management:
- Organize and maintain physical and digital filing systems for accounting, payroll, and DOTrelated documents.
- Process incoming paperwork promptly and accurately, ensuring all necessary information is recorded and filed appropriately.
- Assist in the development and implementation of efficient document management procedures to streamline processes and ensure compliance.
Accounting and Payroll Support:
- Assist with basic accounting tasks such as data entry, invoice processing, and reconciliation of accounts.
- Assist with payroll processing, including data entry, verification, and ensuring timely distribution of paychecks.
- Prepare and distribute financial reports, statements, and other accounting documents as needed.
- Collaborate with accounting and payroll team members to ensure accuracy and completeness of financial records and payroll data.
Communication and Collaboration:
- Serve as a point of contact for internal and external stakeholders regarding DOT compliance, accounting, and payrollrelated inquiries.
- Collaborate with colleagues across departments to facilitate the exchange of information and ensure compliance with company policies and procedures.
- Communicate effectively with team members to coordinate workflow and prioritize tasks efficiently.
Qualifications:
- High school diploma or equivalent; associate's or bachelor's degree in accounting, business administration, or related field preferred.
- Prior experience in clerical or administrative roles, preferably in accounting, payroll, or transportation industry.
- Familiarity with DOT regulations and compliance requirements is highly desirable.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and accounting/payroll software (e.g., QuickBooks).
- Strong attention to detail and ability to maintain accuracy while handling large volumes of paperwork and data.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong interpersonal and communication skills, both written and verbal.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Willingness to adapt to changing priorities and work collaboratively in a fastpaced environment.
