    Job DescriptionVibra-Tech Engineers, Inc., a seismic consulting company, is seeking an Executive Assistant to join our team at our Hazleton, Pennsylvania location.
    As the Executive Assistant, you will be responsible for providing administrative support to the Executive Vice President.

    What You'll Be Doing:
    • Provide high-level administrative support and assistance to the Executive Vice President and assigned leadership
    • Conduct daily status meetings that include action items, meetings and calendar items
    • Provide assistance with tasks, such as drafting correspondence, distributing correspondence and notifications to appropriate corporate departments, preparing expense reports, etc.
    • Coordinate with contracts department in preparing contracts files and completing ancillary contract and project documents for signature.
    • Compile information for prequalification applications
    • Maintain office lease agreements
    • Maintain corporate registrations and license renewals
    • Manage office efficiency by maintaining office equipment, including copier and postage meter, ordering office supplies, mail distribution and overseeing building maintenance
    • Make travel arrangements, including flights, hotel and car rentals
    • File corporate documents, records and reports
    Your Background and Experience:
    • Bachelor's degree or related office experience
    • Experience or background in the construction, engineering, architecture administration or legal environment a plus
    • Possesses notary public or willingness to obtain license
    • Solid knowledge of Microsoft Office, Adobe and Google Suite
    • Excellent verbal and written communications skills
    • Strong organizational skills and attention to detail
    • Ability to multi-task in a fast-paced environment while working independently or in collaboration with others
    • Strong analytical and problem-solving skills
    • Possess strong interpersonal skills and a professional and courteous demeanor
