Description

Position is required to maintain office facilities and supplies, including regular inspection, and ensuring proper functioning of emergency communication systems.

Process incoming/outgoing mail and packages, scan and enter invoices and other company records, and handle Business Travel Account reconciliation. Track, order, and stock office supplies, equipment, furniture, and refreshments. Provide document scanning, copying, binding, and lamination services to employees. Oversee facility equipment maintenance contracts, manage preventive maintenance for office furnishings and equipment. Administer fleet management program, including taking vehicles for service/oil changes, submitting reports, maintaining permits, processing vehicle reservations. Conduct new hire orientations.

Prepare and respond to company emergencies, supporting the Manager, Government & Stakeholder Relations, acting as BIC Facilities Team Leader, and providing emergency preparedness.


Knowledge:

Computer usage and typing proficiency.

Copiers, scanners, visitor badge printing system, and binding equipment.

FedEx processing, Pitney Bowes Mailing system.

FileMaker Pro is a plus.

Effective communication skills (verbal and listening), organizational skills.

Basic office procedures; Filing procedures.

Basic accounting/bookkeeping.


Experience:

2+ years of experience working in an office environment.

Experience managing multiple tasks and priorities simultaneously while meeting deadlines.

Customer-oriented approach and excellent communication and interpersonal skills to interact effectively with executives, staff, and vendors.

Maintaining office inventory and supplies. Occasionally, lifting and carrying boxes up to 50 pounds.

Strong attention to detail and critical thinking skill.

Able to efficiently complete routine and complex administrative tasks within a timely manner, with mínimal supervision.

This role is ideal for a highly organized and detail-oriented individual with a strong commitment to safety and efficiency.

Someone who can maintain a positive high trust and approachable image in all situations when dealing with high-level executives, corporate and field employees, and vendors.

The job requires a quick learning person who can both successfully complete tasks from start to finish and also pick up where others have left off.

Reliability, confidentiality, maturity, and responsibility are essential for this job.

Required attributes include a safe driving record, strong people skills, enthusiastic, able to switch attention quickly and effectively from one task to another, and excellent time management practices.

An approachable attitude that demonstrates willingness to receive, objectively consider feedback and offer suggestions. Ability to work with a wide range of personalities in a courteous and gracious manner. Focused on doing what it takes to keep the Company operating smoothly and efficiently.

Pay:
$ $50.50 per hour
