Our Office Manager / Customer Service Manager ensures the office is operating properly day to day, communicates with clients regarding products and services, and generally oversees other administrative and support staff.

In this position, they will be required to represent the company in various instances, organize other administrative staff, provide input on hiring, firing and, promotions, ensure company policies are up to date, manage company budgets, and maintaining office records and databases.

Therefore, a requirement of this position is the knowledge of office database systems (ERP) and office software packages.


Requirements:


  • Experience in providing customer service support
  • Excellent knowledge of management methods and techniques
  • Proficiency in English
  • Working knowledge of customer service software, databases and ERP system
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Ability to think strategically and to lead
  • Strong client-facing and communication skills
  • Advanced troubleshooting and multi-tasking skills
  • Excellent time management skills and ability to multi-task and prioritize work
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • BS degree in Business Administration or related field

Customer Service skills needed:


  • Improve customer service experience, and facilitate organic growth
  • Take ownership of customers issues and follow problems through to resolution
  • Set a clear mission and deploy strategies focused towards that mission
  • Adhere to all service procedures, policies and standards
  • Keep accurate records and document customer service actions and discussions
  • Analyze statistics and compile accurate reports
  • Recruit, mentor and develop customer service associate and nurture an environment where they can excel through encouragement and empowerment
  • Control resources and utilize assets to achieve qualitative and quantitative targets
  • Adhere to and manage the approved budget
  • Maintain an orderly workflow according to priorities

Office Manager skills needed:


  • Maintain accounts payable/receivable using QuickBooks.
  • Complete accounting and journal entry procedures using QuickBooks.
  • At least 3 years of experience in office management.
  • Able to work with mínimal supervision.
