Definition:

Under general supervision from the Nurse Administrator, the Manager (Medical Assistants) oversees the medical assistant services provided to SRPMIC Community Members.

The incumbent works independently to provide quality healthcare in a culturally sensitive, competent caring manner to empower our patients and help them attain their highest level of health.


This job class is treated as FLSA Exempt.

Examples of Tasks:


Supervision:


  • Manages a team of medical assistants, leads and supervisors, providing guidance, support, and fostering a positive work environment.
  • Provides clinical oversight and supervision of Medical Assistant Supervisors.
  • Coordinate and schedule medical assistant shifts, ensuring adequate coverage for patient care.
  • Maintain accurate records of medical assistant certifications, licensures, and ongoing professional development.
  • Communicates and confers with the Nurse Administrator and Service Line management staff to determine specific work priorities.
  • Delegates work assignments, monitors workflow, and prioritizes work tasks.
  • Trains and evaluates medical assistant staff on all clinical and administrative functions.
  • Makes workstation reassignments to ensure ample coverage for the front desk office and completion of priority projects during absences and vacations.
  • Verifies clockin/out times to ensure work hours are accurately reflected in Time & Labor system.
  • Conducts regular weekly or biweekly medical assistant staff meetings to keep staff informed.
  • Counsels staff to improve work deficiencies and recognize outstanding performance.
  • Prepares timely Employee Performance Appraisal Reports (EPAR) drafts for assigned staff that are reviewed and given final approval by the Nurse Administrator
  • Makes recommendations for disciplinary action as needed.

Program Area Management:


  • Maintains program area direction in line with community objectives on standards of care and operations.
  • Evaluates processes and procedures within scope of medical assistant function for quality standards of care, recommends changes to meet the organizational goals of the clinic.
  • Operates within the departmental budget for operations (personnel and supplies).
  • Provides input for the annual budget process to support budget expenditures for medical assistant services.
  • Maintains documentation of patient care services by auditing patient records.

Quality Assurance:


  • Works with the Service Line Chief and Program Area Clinical Directors to establish the clinical standards used by Medical Assistant staff to provide the highest quality clinical patient/client services.
  • Responsible for periodic reporting of key performance indicators to executive team and the Quality Committee.
  • Works with the Service Line Management Team to establish Standard Operating Procedures (SOPs) that outline the depth and scope of services provided and how these services are to be delivered to provide the highest quality patient/client services for the Community.
  • Identifies and documents the necessary competencies medical assistants must perform to maintain the established care standards.
  • Identifies the educational requirements, including basic and continuing education, that medical assistant staff must meet upon hire and on an ongoing basis to maintain the established care standards.
  • Provides appropriate group and individual education and coaching for medical assistants to develop their skills and abilities in order for them to meet established care standards.
  • Develops SOPs for all medical assistant functions and services within the HHS.
  • Develops guidelines for issues that medical assistants encounter regularly (ex. "Guidelines for calling 911").
  • Provides training necessary to ensure that SOPs are understood and followed.

Medical Supply and Inventory Management:


  • Oversee the procurement and management of medical supplies, ensuring costeffectiveness and adherence to budgetary constraints.
  • Implement inventory control measures to minimize waste and optimize resource utilization.
  • Conduct regular assessments of inventory levels and reorder supplies as necessary to prevent shortages.

Clinical:


  • Performs the clinical and administrative tasks of a Medical Assistant job class.

Miscellaneous:
Performs other job-related duties and tasks to improve department efficiency and operations, as assigned.
