Description
Administrative Assistants aid in the reception role of the YWCA. They work at the front desk of the YWCA and are the first impression of our association. Therefore, clerical and telephone skills, a professional attitude and excellent customer service skills are required.

Due to the many responsibilities of the Administrative Assistants the environment can become very fast paced which requires the ability to work under pressure while keeping a steady appearance.

Administrative Assistants also need to be comfortable asking questions and good communication with the Front Desk Manager.


Responsibilities:


  • Supports the YWCA Mission and One Imperative.
  • Must present a positive image and neat appearance.
  • Must have integrity.
  • Must answer all telephone calls and reroute them to the appropriate staff member as well as answer questions about the YWCA.
  • Responsible for keeping a clean and orderly lobby, cafe, and front desk area.
  • Must respect and adhere to the confidentiality policy of the YWCA, clients, staff, and the general public.
  • Responsible for signing up and accepting money on behalf of customers for memberships, lockers, dropin rates, donations, rentals, and class fees.
  • Must keep accurate record of money received during shift by balancing the Sales Summary against the cash box. Will deposit money after each shift.
  • Update computer information on customers, including memberships, lockers, and class fees.
  • Waits on customers in order (phone takes priority) and makes sure that all questions have been answered or will be answered as soon as possible.
  • Takes adequate notes of new information or messages and delivers them to the appropriate mailbox or person.
  • Gives tours of facility to the public.
  • Closing and opening procedures as specified.
  • Special assignments of the Front Desk Manager, Executive Director, or other Department Heads per instructions.
  • Responsible for representing themselves in a positive and dynamic manner to all patrons. Is aware that whether they are in the YWCA or in the public, they continue to be a representative of the YWCA and will act accordingly maintaining a favorable image for the YWCA.
  • Abides by all program policies.
  • Works as a "team player" with all other YWCA staff.
  • Be physically able to participate in any center activity whenever needed and able to lift 20 lbs.
  • Able to operate and understand the Point of Sale System.
  • Supervise patrons and enforce rules for all areas of the facility.
  • Notify Maintenance of any needs or handle yourself. Assist with laundry.
  • Record time accurately and within prospective pay period.
  • Respond, treat, and document injuries, emergencies, and incidents in a timely and appropriate manner.
  • Attend all required meetings.
  • Ability to work well under pressure.
  • Ability to communicate well with diverse groups.

Requirements (Upon Employment)

  • Bloodborne Pathogens training.
  • Criminal record check.
  • Child Abuse record check.
  • Infant, child, and adult CPR.
  • Infant, child, and adult First Aid.
  • AED training.

Qualifications

  • High School Diploma.
  • Good organizational skills required.
  • Computer skills.
  • Ability to work independently.
  • Ability to work under pressure.
  • Ability to maintain confidentiality.
  • Skills stated in Job Summary.
  • Integrity.

Job Type:
Part-time


Pay:
$9.00 per hour


Schedule:

  • Evening shift
  • Night shift
  • Weekends as needed

  • Customer service: 1 year (required)
