The Role:

We are seeking a highly motivated and organized individual to join our team as an Office Manager.

As the backbone of our office, you will be responsible for a variety of administrative, operational, and logístical tasks to ensure the smooth daily functioning of our workplace.

This is an on-site position requiring work from the office 5 days per week.


Responsibilities:


  • Manage office supplies and equipment, ensuring timely reorders and proper inventory control.
  • Oversee mail and courier services, including sending and receiving packages.
  • Maintain office filing systems (physical and digital) for efficient record keeping.
  • Coordinate travel arrangements and booking appointments for staff (if applicable).
  • Oversee the cleanliness and upkeep of the office space, coordinating with cleaning services.
  • Manage and troubleshoot minor facility issues and report major maintenance needs.
  • Ensure a safe and secure work environment by adhering to health and safety regulations.
  • Schedule and manage appointments and meetings for Executive Staff (if needed), including booking conference rooms and catering arrangements (if applicable).
  • Develop and maintain scheduling systems using online calendars or appointment software.
  • Prepare meeting agendas and take minutes to ensure clear communication and followup.
  • Ensure that we retrieve assets from terminated employees and that access and permissions are revoked in accordance with company policy.
  • Answer phones and greet visitors professionally, directing inquiries appropriately.
  • Provide general administrative support to staff, assisting with tasks and resolving issues as needed.
  • Maintain clear and professional communication with all levels of the organization.
  • Assist with onboarding new hires and maintaining employee records.
  • Manage office budgets for supplies and equipment.
  • Perform other administrative duties as assigned

Skills & Qualifications:


  • Minimum of 2 years of experience in an office management or administrative role.
  • Strong organizational skills with a proven ability to prioritize and manage multiple tasks simultaneously.
  • Excellent communication, interpersonal, and customer service skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to learn and adapt to new software programs and technologies.
  • Time management skills with a focus on meeting deadlines.
  • Meticulous attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Positive and professional demeanor.
