We are looking for a motivated and detail-oriented Office Manager to join our team and help maintain our high standards of efficiency and client satisfaction.
Job Description:
The Office Manager will be responsible for overseeing the daily operations of our office, ensuring a smooth workflow, being the first of line contact for clients and prospects, providing administrative support to our team of tax professionals. This role requires excellent organizational skills, strong communication abilities, and a proactive approach to problem-solving. This role has frequent interactions with clients and our team of 10+.
Key Responsibilities:
Office Administration:
Manage day-to-day office operations, including answering the phone, scheduling client meetings, answering basic client questions, scanning documents, ordering supplies, and helping with ad hoc tasks.
Develop and implement office policies and procedures to improve efficiency.
Ensure the office environment is visually clean, neat, and organized to make a good impression on clients and prospects.
Assist with billing and invoicing.
Assist with faxing and mailing documents as needed.
Comfort with adopting and learning new technologies and systems.
Client Relations:
Serve as the first point of contact for clients, both in-person and over the phone.
Coordinate client appointments, meetings, and follow-up communications.
Maintain client records and ensure confidentiality of sensitive information.
Qualifications:
Strong interpersonal and communication skills.
Proven experience as an Office Manager, Administrative Assistant, or similar role.
Proficiency in MS Office Suite and Gmail
Excellent organizational and multitasking abilities.
Ability to respectfully communicate with a variety of clients
High level of discretion and confidentiality.
Experience with Quickbooks Online, CCH Axcess tax, SurePrep, and ClickUp is a plus.
