World Relief seeks a Bilingual English/Spanish Immigration Legal Services Administrative Assistant.

This position is the first face and voice with whom immigrants in our community will interact and you can help make sure they are received with welcome and dignity.

This position will offer administrative clerical support to the World Relief Chicagoland's Immigration Legal Services (ILS) department and the Asylum Legal Clinic (ALC) which is part of ILS.

The position is based in the Chicago office and requires occasional travel to the Aurora or DuPage (Carol Stream) offices.

This position will work collaboratively with the Front Office Administrative Assistant in the Chicago office. Applicants must be fully bilingual in both spoken and written English/Spanish.

Role & Responsibilities:

Customer Service

  • Work in collaboration with the Front Office Administrative Assistant to serve all World Relief Chicago clients well
  • Answer and screen all incoming phone calls for the ILS department and direct accordingly
  • Facilitate inperson and telephone intake of new and existing clients
  • Schedule appointments and administer reminder notifications Case note existing client interactions
Clerical & Case Work

  • Collect payment from clients and issue receipts and fill out an invoice in the ILS database system, LawLogix (LLX)
  • Prepare weekly income reports and submit to the WRC finance department
  • Manage/direct all outgoing and incoming mail for ILS/ALC staff in collaboration with the ALC paralegal
  • Assist as needed with prompt filing and data entry of all correspondence from the government and communicate pertinent information to the appropriate client and/or ILS Representative
  • Provide Spanish/English document translation as needed
  • Scan and upload closed case files to LLX database Maintain adequate office supplies for the ILS department and coordinate orders when necessary
Training & Meetings

  • Participate in bimonthly or as needed ILS department meetings, usually held virtually on Wednesday afternoons, periodically inperson at the DuPage office
  • Participate in bimonthly or as needed Administrative Huddles usually held virtually, periodically in person at the DuPage office
  • Participate in Chicago Staff and All Staff meetings periodically, as well as Chicago Staff and All Staff trainings, as required
  • Train and oversee administrative interns and volunteers to assist with administrative tasks
  • Provide additional administrative support to ILS Representatives as needed
  • Participate in periodic Saturday offsite clinics

Knowledge, Skills, & Abilities:


  • Bilingual Spanish/English required fluency in both spoken and written Spanish and English including the ability to translate documents from Spanish to English and English to Spanish
  • Excellent communication skills including an ability to patiently inform and direct
  • Crosscultural experience including crosscultural communication skills
  • Excellent problemsolving skills and flexibility to work in a frequently changing environment
  • Ability to handle a large call volume and manage frequent interruptions
  • Strong attention to detail and organizational skills
  • Strong selfstarter skills and a desire to learn and grow
  • Flexibility to keep up to date on regular changes in programming and scheduling
  • Associates degree or higher education preferred

  • Proficiency with Microsoft, Outlook, Word & Excel
