    Job Overview:


    We are seeking an experienced individual who will prepare and maintain financial records to track the organization's assets, liabilities, income and expenses, and other related financial activities supporting all aspects of accounting management.

    This includes, but is not limited to A/R, A/P, government contract claims, payroll, budgeting, general reimbursements, government contract claims, payroll, budgeting, financial statements, general ledger, journal entries, reconciling accounts, analyses, forecasting, and regulatory reporting.

    This position also includes supporting operations related to building maintenance and technology.


    Responsibilities:
    Complete contract claims and billing within required timeframe each month. Work closely with partners to ensure contracts follow all guidelines. Prepare and send documents for the financial review or site visit.


    Oversee processing of vendor invoices and requisitions submitted by employees for agency goods and services, and verify that charges meet the agency defined financial criteria for payment.

    Complete process of payments for all agency related invoices.

    Maintain vendor database for accounting system ensuring vendors are set up with tax information, and when applicable, bank account information for ACH payments.

    Coordinate and assist with the preparation of program, government contract, and agency budgets and forecasts.

    Track receivables, record incoming monies and ensure bank deposits are made weekly.

    Assist in preparing and consolidating financial statements for programs, government contracts and agency. Manage all aspects of the general ledger, make journal entries and reconcile accounts for the monthly and annual closing. Assist in providing monthly, quarterly and year-end analyses.

    Provide and assemble information in preparation of the annual audit, and audits conducted for funders and government contracts.

    Ensure payroll data is correct, set up pay codes and labor allocations, and track employee deductions.

    Enroll appropriate staff members with Oklahoma Health Care Authority.

    Create monthly financial statements for the Board and Finance Committee. Attend Finance Committee meetings.

    Attend workshops or conference calls regarding policies on clinical billing, etc. when necessary.

    Administer and support daily operations related to building maintenance, technology, alarm systems and the grounds.

    Monitor supply levels and purchase supplies and equipment as authorized.


    Demonstrate an understanding of the mission and goals of the organization and be available to support its staff and programs.

    Understand and be enthusiastically committed to meeting the needs of the people the organization serves.

    Perform other clerical and administrative duties as assigned.


    Required Experience:
    Bachelor's degree or equivalent experience

    Proficient in data entry skills, and knowledge of Microsoft Office and Windows

    Experience with accounting and financial functions, experience with online accounting software.

    Demonstrate ability to multi-task, establish priorities for job tasks, problem solve and work independently with minimal supervision.

    Highly organized, with the ability to work with a high level of accuracy and attention to detail.

    Excellent communication skills and the ability to work collaboratively with staff, volunteers and clients.

    Adept at creating collaborative relationships with peers, leadership and external partners; a team player.

    Valid Oklahoma driver's license and a dependable mode of transportation.


    Preferred Skills and Abilities:
    Experience working with government contracts and Medicaid.

    Experience working with Peachtree Accounting Software

    Limited knowledge of building maintenance

    Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and the ability to adjust focus.


    Work Environment:
    The employee will work in an office and public service-delivery environment.

    Hectic situations can occur in the public areas of the facility characteristic to working with the client community and the related concerns and situations related to client personal challenges.

    Potential exists for volatile and unpredictable situations to occur. May experience exposure to strong odors such as soiled clothes and poor hygiene.

    Office site is located in early 1900s era residence; not all offices and other administrative areas in this residence are wheelchair accessible.
