Reports To:
Executive Director, Director of Program Services


General Summary:


Office Manager:

Is responsible for overseeing the daily operations of CANY office and its various departments.

The duties include communicating with department heads, relaying important information or policy changes from upper management and implementing incentives to enhance employee productivity.


HR Manager:

Plans, directs, and coordinates all Human Resources needs of CANY.

The duties include hiring personnel, managing the hiring, and onboarding procedures for all company employees and coordinating with members of the administration department to provide support to company employees regarding personal and professional incidents.

Work closely with the compliance officer CFO and payroll company. Participate in meetings, conferences, trainings and use other resources to stay well informed in HR and Employment Laws


Major Job Duties and Responsibilities:


Office Manager:


  • Maintains office services by organizing office operations and procedures, designing filing systems and defining procedures for retention, protection, retrieval, transfer, and disposal of records.
  • Controls inventory of office supplies, manages orders, and maintains relationships with vendors.
  • Coordinates IT and schedules appointments for set up/maintenance.
  • Manages all CANY insurance (Health, General Liability, Auto, DBL, D&O, Worker's Compensation, Unemployment) as well as any Worker's Compensation or Unemployment claims.
  • Schedules meetings for all employees and is the acting liaison to meet and greet visitors.
  • Oversees the reconciliation of receipts for all purchases made on CANY credit cards and allocates expenses to the correct program
  • Work with Controller on bank reconciliation, petty cash reconciliation, and tracking budget expenses
  • Assists in CANY's marketing, website revision, and public relations initiatives
  • Other duties as assigned

HR Manager:


  • Collects and maintains all Human Resource files in accordance with legal requirements and mandates from the Justice Center and OPWDD
  • Recruits and interviews new applicants for advertised positions, conducts the Justice Center/OPWDD screening process.
  • Consults with CANY's Compliance Officer and Controller to ensure the integrity of the files and attends meetings to go over any with changes in OPWDD/Justice Center procedures and protocols for hiring
  • Manages employee benefits and paperwork indicating a change in employment status for all staff (hiring, orientation, promotion, demotion, and termination/resignation)
  • Maintains files and spreadsheets of staff trainings (In-House Trainings, CPR, First Aid, SCIP, and Van Safety Training) for Day Habilitation staff and schedules their renewals.
  • Maintains CANY database on the Justice Center's website
  • Acts as the Authorized Person for both OPWDD and the Justice Center
  • Other duties as required

Minimum Education and Experience Requirements:


  • Bachelor's degree in related field
  • At least one year of comparable administrative experience.
  • Experience working with people with disabilities preferred.

Skills and Abilities Required:

  • Excellent interpersonal skills necessary to work effectively with employees, participants, families and outside contacts.

Pay:
$65, $70,000.00 per year
