ABOUT THIS POSITION:

The Phoenix Fire Department is committed to providing the highest level of public safety services to our community.

We protect lives and property through fire suppression, emergency medical and transportation services, disaster services, fire prevention, and public education.

The Fire Public Records Section processes more than 200 weekly public records requests from outside agencies.

This includes processing requests for Emergency Medical Services, Emergency Transportation Services records, and Fire Incident reports for the citizens of Phoenix.

The Records Clerk and Records Clerks Lead is responsible for processing public records requests, and subpoenas, as well as researching, compiling, invoicing, and billing for each records request received.

This position will report directly to the department's Records Control Officer.

Responsibilities include, but are limited to:

  • Research requested incident, determine appropriate division to process incoming requests, and assign in the issue tracker.
  • Track and process internal and public records the requestor.
  • Respond to status inquiries and document retrieval.
  • Audit received records for accuracy and HIPAA compliance, redacting as required
  • Create invoices and fax invoices to requester.
  • Process payment receipts and send out redacted records.
  • Audit outstanding public record requests and payments.
  • Miscellaneous projects or reports as needed.
The Fire Public Records Section is seeks to hire one Records Clerk and one Records Clerk Lead. This is a full time, 40hr per week position at the Fire Administration Building at 150 South 12th Street. Work hours are typically 8:00 a.m. to 4:30 p.m.


IDEAL CANDIDATE:


  • Customer service skills.
  • Ability to multitask.
  • HIPAA knowledge.

SALARY:


Records Clerk Lead:


Pay Range:
$20.51 to $30.31 per hour.

Hiring Range:
$20.51 to $27.49 per hour.


Records Clerk:


Pay Range:
$16.88 to $27.93 per hour.

Hiring Range:
$16.88 to $24.93 per hour.

MINIMUM QUALIFICATIONS:

Records Clerk:
  • One year of clerical recordkeeping experience, including experience working with computerized records systems.
  • Other combinations of education and experience that meet the minimum requirements may be substituted.

  • Two years of clerical recordkeeping experience, including one year of experience working with a large central records system.

  • Experience working with confidential materials.
