Job Description:

Provides clerical and administrative support to the Director of Human Resources.

To support the Human Resource function by providing a warm greeting and enviornment for all associates in the Associate Services Center.

Pay rate is $20.00 per hour.


Responsibilities:


  • Provides comfortable and hospitable reception to all associates upon entrance to the ASC offices.
  • Enters all new hires into Ultipro within 24 hours.
  • Ensure new hire files are completed in 3 days.
  • Monitors and answers phones within 3 rings and professionally handles all phone inquires.

e:
birthday & anniversary listings, birthday cards, bulletin boards, OSC Board, and other postings as appropriate.

  • Ensure Action Trac is maintained weekly and assists with organizing monthly OSC meetings.
  • Ensures the OSC winners are photographed for inclusion in postings and on OSC Board.
  • Organize and order all office supplies, including nametags, folders, etc.
  • Participate in planning and execution of all associate events.
  • Provides administrative and technical support to the HR Director. Responsible for special projects (Monthly OSC, Annual OSC Event and other Associate Events) as directed by the HRD.
  • Issue name tags and clock numbers and ensure all new hires are enrolled in the time clock in a timely manner.
  • Files and maintains all associate records, ensuring compliance with HR SOPs and legal requirements.
  • Prepares memos and other correspondence including employment verifications in a timely manner.
  • Collects, distributes and sorts internal/external office mail and clears Suggestion Box weekly.
  • Compiles all terminated associate files, with exit documentation to complete term file.
  • Enter termination information in Ultipro as soon as associate is terminated and complete term folder in a timely manner.
  • Maintains clean, organized associate internet station.
  • Maintains adequate par level for New Hire Packets and Policy/Procedure Packets; ensuring we are using the most up to date policies.
  • Prepares training packets and name cards for trainings. Files all training in binders.
  • Payroll responsibilities include but are not limited to the following: Maintenance of the associates' records i

I-9, W4, addresses, direct deposits, multiple job codes, and secondary job codes. Ensure that the secondary job codes are corrected immediately after receiving report form corporate payroll.

  • Other responsibilities as required by management.

Qualifications:

  • Hotel background preferred.
  • Strong administrative experience to include social media.
  • Associates Degree preferred.
  • Must have a high level of attention to detail and the ability to multitask.
  • Must be able to maintain a high degree of confidentiality.
  • High level of written and verbal communication skills.
  • High level of computer proficiency; specifically with Microsoft Office (Excel, Windows, Outlook, PowerPoint and Publisher).
  • The ability to work in a fast paced, high pressure work environment, while executing delegated tasks and assignments.
  • Highly motivated self starter focused on quality, organization, integrity, guest service and teamwork.
  • Must be flexible with the ability to work late and on the weekends when required.
