As the Administrative Assistant, you will play a crucial role in advancing the organization's mission.


Essential Job Duties (in order of priority):

Provide a welcoming, informative, and positive experience for staff, clients, and visitors by:

  • Answering phones and assisting callers, making referrals, or taking messages.
  • Greeting and directing visitors and program participants.
  • Accepting all donated items and ensuring the proper notification, organization, and storage of items.
  • Processing incoming mail and financial donations in collaboration with the Office Manager.
  • Monitoring the In/Out Board and checking in staff, as needed.
  • Updating the monthly calendar with PTO, events, etc.
  • Updating/maintaining lobby literature for clients and desk area information regarding resources.
  • Maintaining a clean, professional desk area, reception area, and donation closet.
  • Other duties as assigned.

Providing Operations and Staff Support by:

  • Completing data entry and upkeep for the Development database in a timely and accurate manner.
  • Assisting with acknowledgment letters, mailings, and reports, as needed.
  • Setting up meeting spaces (e.g., reservations) for staff meetings, events, needed.
  • Assisting with meetings including scheduling, taking minutes, and followup, as needed.
  • Cleaning and organizing the Office and building (including trash/recycling service) as needed to ensure a tidy space.
  • Inventorying, ordering, and maintaining needed office supplies/necessities e(e.g., printer paper, cleaning supplies, etc.)
  • Sending birthday/anniversary acknowledgments as need
  • Other duties as assigned.

Providing Program Support by:


  • Maintaining records, tracking, and distributing client gas cards, bus passes, and gift cards.
  • Coordinating the pickup of items for clients (i.e., checks, donation closet items, etc.)
  • Keeping all donation closets organized and communicating with staff about available items.
  • Coordinating donations with partner agencies.
  • Other duties as assigned.

Knowledge, Skills, & Abilities:


  • A high school degree or equivalent is required.
  • Previous experience in a Receptionist and/or Administrative Assistant role is preferred.
  • Ability to enter data in an accurate, efficient, and timely manner is required. Previous experience with data entry is required.
  • Proficiency in Google Suite is required. Knowledge of Microsoft Office is preferred.
  • Previous experience with etapstery is preferred.
  • Interpersonal skills that create a welcoming and respectful environment for all who contact or visit the Agency is required.
  • Effective communication skills, both written and verbal, are required. Must demonstrate the ability to listen, write, and speak with understanding and comprehension.
  • Demonstrated ability to be organized, anticipate needs, and use effective time management skills are required.
  • Ability to practice a high level of confidentiality is required.
  • Ability to work on a team and independently is required.
  • Experience working with a diverse population is preferred.
  • Experience working with a missionbased organization is preferred.

Additional Eligibility Qualifications:


  • Access to reliable transportation to commute to the office, whether personal or public transportation, is required.

Hours:
This is a full-time hourly position from 8:30 am-5:00 pm, M-F with some flexibility as needed.
