Description
Minimum Qualifications
At least 6 years of progressively responsible experience in an administrative setting. Public sector experience and experience in an executive office is preferred. College study may substitute on a year for year basis for up to four years of the experience.
Duties Description
This position will provide administrative support the Deputy Commissioner and two Associate Commissioners who oversee operations in advancing the agency's cultural and educational mission, curatorial and special event operations, and an extensive media services team and communications.
Incumbent must possess excellent organization, communication, problem solving, attention to detail, and computer skills; demonstrate exemplary customer service, take initiative and work independently.
The incumbent must be able to work well with others in a fast-paced environment with constantly changingpriorities. This will include frequent contact with representatives at all levels.
Duties include but are not limited to:
- Receive and screen telephone inquiries from internal OGS staff, other State government officials,
necessary.
- Responsible for OGS main line, and Public Information phone lines, webmaster inquiries when assigned.
- Monitoring legislative activity relevant to the Agency's priorities (i.e. public hearings and committee rosters/meetings/agendas).
- Managing news outlet subscriptions.
- Maintain statewide media contact lists and provide initial responses to media inquiries.
- Organize and assist with press conferences and special events (may require travel).
- Coordinate meetings, travel, conferences, and organizationwide activities.
- Prepare correspondence for the signature of Executive level staff. This may include formatting and
- Organize and set the priorities of work to be accomplished on a daily or weekly basis.
- Perform other office support activities (e.g., scanning, photocopying) and related tasks as assigned
- Responsible for Flag requests and distributions, and the agency's flag inbox for halfstaff
- Prepare and/or edit reports, memos, letters, press releases and other documents using software
- Prepare routine responses without direction and assemble background material for more complex
- Coordinate and monitor ongoing projects, programs and activities of interest and concern to
up-to-date information.
- Liaison administrative matters between Executives and other State agency Executives and
- Work with and provide backup to other Executive Assistants when needed/requested.
- Perform other duties and special projects as required.
