Facilities Associate to join our team in
DC.

The Facilities Associate will be responsible for:
(a) the coordination, planning, and execution of client and company events and meetings hosted in our state-of-the-art, multi-room conference/meeting facilities, and (b) provide general support to other facility functions.


What You Will Do

  • Support the execution of the client experience for organizations who use our conferencing space for business meetings, educational seminars, and networking events from beginningtoend.
  • Work with internal partners to develop schedule of events, use of rooms, coordinate catering, ideate on technical requirements, manage guest communications, and plan for all other aspects of each meeting.
  • Advise on measures to improve the efficiency and costeffectiveness of the facility, as well as enhancements to standard operating procedures.
  • Assist with the execution of inspace companywide events for employees, such as business meetings, training sessions, and socials.
  • In coordination with the Facilities Manager, act as the lead during client conference events, which includes briefing staff on the plans, setting out timelines for events, ensuring proper event setup and directing staff during events to ensure execution according to client expectations.
  • Coordinate catering and beverage services for hosted events. This includes working with internal and external clients to identify food and beverage requirements for the meetings, and providing menus and catering suggestions as needed.
  • Engage in high degrees of interaction with company executives, employees and guests on various items.
  • Serve as primary back up for receiving guests to our Chicago office.
  • Provide general, longdistance support to client meetings/event hosted in our DC conference/meeting facility.
  • Assist with Chicago facility operations as needed including but not limited to conducting facility walk thrus, maintaining facility upkeep and partnering with team members to complete group tasks.

Basic Qualifications

  • Outstanding vendor management skills
  • Demonstrated ability for critical thinking.
  • Ability to multitask and address customers' needs, facility issues and miscellaneous projects
  • Flexibility to work outside of standard office hours, as needed, to execute events and complete necessary and time sensitive tasks
  • Comfortable with making reasoned judgement calls with respect to various areas of work
  • Be able to lift 30lbs

Preferred Qualifications

  • At least two years in hospitality, customer service, or event planning is desired, but not required
  • Bachelor's degree in hospitality management, public relations, or a relevant field is preferred.
  • Proficiency with basic computer programming, including Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
