About the role
The Operations Manager will be responsible for managing operational needs of Opportunities Inc.

The Operations Manager will manage all aspects of the agency's fleet of vehicles, support facilities management, and assist with IT and other company equipment as needed.

The Operations Manager will also ensure that Opportunities, Inc.'s facilities are well maintained and safe for service delivery according to COMAR and Opportunities, Inc.'s standards.


Salary Range:
$50,000 - $60,000

What you'll do

  • Manage a growing fleet of vehicles, ensuring vehicles are well maintained.
  • Manage information systems tracking vehicle information, including iCareManager's Fleet Management Module, Enterprise eFleet Portal, Wex, and GeoTab.
  • Track routine vehicle maintenance needs and oil changes.
  • Serve as the point of contact between Opportunities Inc. team members and external vendors, such as insurance and fleet companies as well as maintenance program preferred shops.
  • Process tag renewals, emissions and recalls for agency vehicles.
  • Assist in procurement of new vehicles and replacement of old vehicles.
  • Conduct routine inspections of the fleet for cleanliness, adequate supplies, and safety.
  • Ensure mileage logs, car washes, gas receipts and other vehicle documentation is submitted by staff.
  • Monitor utilization of gas cards, monitoring Wex daily for transactions and reconciling with receipts scanned in by staff.
  • Manage vehicles incidents and accidents, including but not limited to arranging for tow services / backup vehicle, insurance claim, repairs and reentry into the fleet.
  • Manage all Incident / Accident Reports in iCM.
  • Maintain an updated vehicle list with drivers assigned to each vehicle.
  • Coordinate vehicle needs with programs and advise COO/CEO on vehicle needs.
  • Track traffic violations and work with leadership on performance management or training needs related to safe driving. Maintain updates to operating schedule on Opportunities Inc. online platforms, including the agency calendar of holidays, inservices, and any changes to operations due to inclement weather.
  • Provide / Coordinate training related to safe driving and Opportunities Inc. driver responsibilities and reporting requirements.
  • Develop and maintain protocols regarding aspects of fleet management and driver safety.
  • Develops, recommends, and administers policies, procedures, and processes in support of grounds and building maintenance operations; implements and monitors compliance with approved policies, procedures, and processes.
  • Assist with procurement of supplies such as IT hardware (laptops and iPhones).
  • Coordinate facilities needs with maintenance vendors including HVAC, Plumbing, Installations, Deliveries, Renovations, Internet, Utilities, Security, Cleaning, etc.
  • Checks all completed work by vendors and contractors.
  • Conducts and documents monthly safety reviews for all locations.
  • Complete minor repair work across all facilities.
  • Troubleshoots and responds to afterhour issues as needed regarding the operational aspects of the facilities such as HVAC issues, fire alarm malfunctions, electrical outages, water leaks, etc.
  • Create and maintain regular repair orders across all locations.
  • Prepare facilities for changing weather conditions.
  • Collaborate with Agency Leadership to budget for all facility needs.

Qualifications

  • Advanced mechanical skills and knowledge of plumbing, HVAC and other building systems
  • Proficiency with repair tools and techniques
  • Excellent communication and interpersonal skills, including the ability to speak with all levels of employees, guests, vendors and team members
  • Great time management, organization and prioritization abilities
  • Keen attention to detail and efficient problemsolving skills
  • 35 years experience with facilities and/or fleet maintenance/management
  • Ability to lift heavy equipment and comfortable standing or walking for long periods of time
A valid driver's license, clean driving record, reliable transportation and be willing to drive company vehicles
